We are looking for an experienced EA Program Support with some relevant experience in governance to join our Global Finance Transformation Team. The post holder will provide overall EA program support on a daily basis to the Global Finance Transformation Director and team, to include key governance meeting management. Job role and responsibilities: Support through concise diary management and thorough organisation & preparation of meetings, calls, and events, often across many time zones. Logistical skills to arrange and coordinate extensive international travel including flights, visas, hotels, ground transportation, detailed on-location agendas, and entertainments. Preparing clear presentations and reports as required within set deadlines together with ensuring team members submit their reports within appropriate timelines. Arranging, attending and minuting key governance meetings for the Transformation programmes to maintain a strong record of actions and follow up together with an auditable record of governance for the programmes. Liaising between Transformation Team members and regional finance leaders. Building on and maintaining excellent rapport with colleagues across the whole Group. Actively managing the directors’ e-mails, delegating and actioning tasks where appropriate, and keeping the directors informed of any issues occurring while absent. Arranging and managing logistics of departmental conference face-to-face meetings as required. Administration of annual leave records for line managers of the Director, filing, creating pre-travel requests, monthly credit card and out-of-pocket expenses, raising purchase orders and approving invoices within Coupa, arranging taxis, lunches, dinners, and stationery orders as required. Managing contractor renewals and updates with the Commercial Manager. Managing communications with external stakeholders including key suppliers and contractors. Support to management team as required. Provide cover for other PAs as required. Provide support on projects, when required. Skills and experience required: Even temperament, calm, efficient, approachable. Excellent organisational skills, including governance and meeting management. Team player, able to work and interact with all levels of the business. Attention to detail is important. Ability to think ahead, be proactive. Good communication skills. Thorough knowledge of MS Office/Teams products. Confidentiality, tact, diplomacy. Ability to prioritise competing demands and cope with pressure. Flexibility to operate in a high-demand role. Strong use of English language (spoken and written).
