As our Executive Assistant, you’ll build the systems that protect focused work in our fast-growing remote team. Success means handling the constant flow of information and operations so our Managing Director can concentrate on strategic priorities. Your excellent support will make this possible. We’re looking for someone who finds satisfaction in excellent support. You’ll solve the interesting puzzles that keep a remote business running smoothly. Your careful attention to finance, team coordination, and meeting management will help the whole team succeed. We take a different approach at Ellipsis. We value Deep Work in a world of constant connection. You’ll help manage this balance: handling urgent client requests, coordinating strategic projects, and creating space for focused work.

This position can be broken down as follows: 50% process-driven company admin / MD admin 30% reactive work and special projects 20% meetings – preparation, attendance, follow-up Responsibilities:

Finance, HR, and company operations admin: Manage day-to-day financial tasks, including expense processing, drafting of batch payments, and maintaining accurate records. Handle client invoicing, ensuring timely payments. Coordinate with external accountants for accurate financial reporting. Support with new hires; post job descriptions and handle initial screening of candidates. Meetings: Prepare for meetings, ensuring agendas and internal notes are ready. Attend meetings and take minutes. Triage next actions arising from meetings. Sales and marketing admin: Draft contracts and proposals for clients. Draft sales emails as follow-ups. Ensure timely delivery of follow-ups. Emails: Assist the Managing Director with maintaining an organised and efficient inbox. Build templates for recurring email patterns. Travel: Organise company meet-ups, including researching and budgeting locations. Assist Leadership team with travel logistics. Special projects: Assist with tasks day-to-day and take on one-off projects. Handle work to align with B Corp standards. Put together the company monthly newsletter. What we’re looking for:

Sharp eye for detail, especially with written English. Experience improving processes. Strong writing and editing skills. Comfort working remotely and managing your own time. Confidence with digital tools like Google Workspace. Ability to work UK hours with flexibility for occasional late meetings. Benefits:
