This position is part of a team responsible for all meetings, cricket, and events at The Guildford Pavilion. The role involves assisting with general administration, event preparations, sales, and ad-hoc office requirements. Within your remit, you’ll be responsible for assisting with events including conferences and meetings, parties, dinners, weddings, wakes, concerts, cricket, and community activity to new and existing clients, maintaining, and building positive, long-term relationships with clients and ensuring that the clients receive the highest level of service. The role will report into the Venue Manager and will be very much hands-on with sales, operations, and liaising with preferred caterers, sponsors, and suppliers. Assisting with daytime events, room set-up, etc. Managing the reception area, including welcoming customers and guests. Managing company correspondence, including phone calls, emails, letters, and packages. Maintenance of Ivvy database, producing sales reports. Look after all event ordering as instructed by the venue. Look after all office supply requirements. Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operation. Social Media. Marketing support. Managing stock room organization. Facilities

Assist with weekly bar stock checks if requested by the Venue Manager. Arrange orders and POs for bar stock if requested by the Venue Manager. Report any work required to be carried out within the building. Support the Venue Manager with the facilities management of the building. Marketing

Promote agreed marketing offers according to business requirements. Input into the annual marketing plan. Action the social media plan to promote the venue and generate inquiries. Ensure all new contacts are entered into the marketing database within Ivvy correctly to grow the internal database. New Business Development

Proactively seek out new business opportunities. Follow up by telephone all new leads. Invite new business opportunities to promotional/showcase events. Network within the Guildford business community. Cricket. Liaise with Surrey County Cricket Club and Guildford Cricket Club regarding their requirements during the summer cricket season. Work on cricket events during the summer cricket season as required. Experience

Minimum one year office experience. Sound commercial acumen and target-driven. IT literate, with experience in-house CRM systems. Excellent communication skills, verbal and written.
