We are seeking a highly organized and proactive Executive Assistant to support our Chief Marketing and Communications Officer (CMCO). The ideal candidate will be adept at managing complex schedules, coordinating high-level meetings, and handling confidential information with the utmost discretion. Key responsibilities
Manage the executive’s calendar, schedule appointments, and handle calls. Screen incoming calls and correspondence, responding independently when possible. Organize programs, events, meetings, or conferences, including arranging facilities and caterers. Coordinate all meetings required to support the marketing function. Provide support for complex meetings or Teamcalls for the CMCO’s direct reports. Collaborate with other Executive Assistants and general affairs personnel for office logistics. Perform invoice management and liaise with global finance departments and suppliers. Maintain organizational charts on Visio and handle confidential corporate and personnel matters. Prepare agendas, notices, minutes, confidential correspondence, reports, and presentations. Arrange detailed travel plans and itineraries, including visas and travel-related documents. About you
Proven experience as an Executive Assistant or in a similar role. Exceptional organizational and time-management skills. Strong communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio). Ability to handle confidential information with discretion. Strong problem-solving skills and attention to detail. Ability to work independently and as part of a team. Hybrid working: 3 days in the office. Benefits
