Join our dynamic team as an Executive Assistant, providing top-notch administrative and logistical support to two Management members/Unit Heads (B and C-bands) in P&C Reinsurance, based in Zurich and London. In this role, you'll proactively manage calendars, arrange executive travel, process expenses and invoices, and provide essential meeting support. You'll also have the opportunity to organize team offsites and events (both virtual and in-person), create and support PowerPoint presentations, and take detailed meeting minutes. We are looking for a candidate with strong verbal and written communication skills, who is comfortable supporting multiple stakeholders with excellent organizational and time management abilities. The ability to determine priorities, manage different deadlines, anticipate issues in day-to-day activities, and resolve them independently is critical to this role. Your main stakeholders will be the Head Reinsurance P&C Contracts and the Head P&C Underwriting Excellence. You'll also collaborate closely with other Executive Assistants in P&C Reinsurance, making this a highly interactive and engaging position. About the Team You will be part of a dynamic team of 11 Executive Assistants spread across EMEA, working collaboratively to support our executives. About the Role Provide extensive diary management for senior stakeholders and maintain busy inbox Arrange business travel, including booking flights, hotels, arranging visas, and local transport Organisation and delivery of team offsites and internal/external events Assist with drafting documents and preparing PowerPoint presentations Prepare agendas and materials for meetings and draft meetings minutes/follow-up actions Schedule and facilitate the smooth running of quarterly global team Townhalls Draft various communications for offsites, invitations, Viva Engage posts and events Prepare Purchase Orders and process invoices and expenses Work with the cost partner to oversee team travel & expenses budget Work on numerous ad hoc projects as required About You We are looking for an excellent communicator, both written and verbal, who is comfortable interacting with staff at all levels and can work effectively in a team environment. You should be able to work independently with limited direction, while demonstrating strong organizational and time management skills.
