Managing administration needs across the Directorate on behalf of the Executive and their Senior Managers Taking telephone calls for the Executive and using their initiative to deal with phone calls and messages, maintaining constructive relationships with a broad range of internal and external stakeholders across the Integrated Care System Sorting and prioritising all incoming mail and e-mail, distributing as appropriate Managing the Executive’s mailbox, dealing with incoming emails on behalf of the Executive as appropriate, using categories to organise emails, and developing an efficient email filing and archive system Managing the electronic diary for the Executive, including arranging and changing appointments, often involving other senior colleagues, and prioritising these as appropriate Organising and planning meetings/events as necessary, including distribution of supporting meeting materials Preparing agendas, taking minutes/action notes and distributing notes of meetings including typing up of group discussions and interviews as necessary The role will undertake a wide range of executive assistant administrative tasks, including taking personal responsibility for a range of delegated projects and business. Qualifications
Educated to degree level in a relevant subject or equivalent level of experience of working at a similar level in a specialist area. Experience
Knowledge of administrative procedures, project management or information analysis. Expert knowledge of MS packages including Word, Excel, PowerPoint and Outlook. Previously worked in a similar position within the public sector. Knowledge of NHS issues. Understanding of the Data Protection Act. Skills
