Executive Assistant

for their growing Employment team. As part of our Employment team in

Edinburgh

or

Aberdeen , you will provide vital secretarial support, contributing to the smooth operation of the team. Your role will also involve assisting the wider Employment team while ensuring the delivery of efficient, high-quality service to external clients. What You’ll Do

Schedule and amend appointments, book meeting rooms, track responses, and organise refreshments, including agenda updates

Anticipate requirements for meetings, including organising papers, creating itineraries, and providing relevant background information

Assist with managing emails, saving attachments, and handling urgent communications when required

Develop strong relationships with key clients and provide the highest quality service

Draft and amend client correspondence and legal documents, ensuring accuracy and compliance with firm standards

Maintain trackers, liaise with teams, and assist with marketing activities

Draft bills, reconcile accounts, and manage the billing process

Coordinate domestic and international travel, ensuring seamless itineraries

Assist with file management, minutes, presentations, and ad hoc projects

Provide support across the Family team and other practice areas when needed

What You’ll Need

Experience working in a busy legal environment, preferably within an Employment or Family team

Proven ability to work under pressure and meet tight deadlines

Strong communication skills, confident in engaging with individuals at all levels

A proactive and self-motivated approach with a “can-do” attitude

Exceptional organisational and time-management skills, with the ability to multitask and prioritise

Advanced proficiency in Microsoft Office applications, including Word (track changes/mail merge), Outlook, Excel, and PowerPoint

Experience with systems such as Workshare Compare, Aderant, and DMS (preferred but not essential)

Flexibility and willingness to adapt to changing workloads and priorities
