Morgan Hunt are currently working with a Further Education College in their search for a temporary

Executive Assistant

to the Principal to join the College's Customer Services Support Team.

You will be responsible for providing high-quality assistance to the Principal and providing wider administrative support to other College managers. You will be joining a small team of Executive Assistants and will be responsible for general admin activities such as managing a diary and arranging internal and external meetings, dealing with incoming and outgoing correspondence, preparing letters, reports and other documents, attending meetings, taking minutes, creating agendas and action plans and liaising with key stakeholders such as Governors, funding agencies, awarding bodies, partners and other organisations.

The successful candidate will have experience of providing administrative support to a senior manager, excellent administrative and organisational skills, the ability to build effective working relationships with a range of stakeholders, good oral and written communication skills and a keen eye for detail.

Key Responsibilities

Acting as the first point of contact for the Principal including by telephone, emails and in-person visits.

Managing the Principal's diary (using Outlook) to include making appointments and arranging internal and external meetings and travel arrangements.

Preparing letters, reports, and other documents including in preparation for meetings and presentations for the Principal.

Attending meetings, taking minutes, creating and distributing agendas, action plans or matters arising lists and assisting with follow-up.

Liaising and working closely with the Director of Governance, members of the Customer Support Services Team and other relevant departments/individuals throughout the College as required.

Organising hospitality for significant visitors and VIPs to the College and obtaining data and information and undertaking research for projects.

Coordinating and maintaining papers, files and key records including financial, planning, historical and legal paperwork.

Processing invoices and overseeing the budgets relating to the Executive Office.

Liaising with stakeholders including Governors, funding agencies, awarding bodies, partners, and other organisations.

Person Specification

Must have a professional PA qualification or equivalent by experience.

Must have experience of working in an administrative environment at a senior level.

Experience of leading a team in customer service or similar environment and of working in an educational environment.

Must have the ability to develop positive working relationships with individuals at all levels.

Successful experience of project and/or event management.

Must have effective communication/organisation skills and the ability to work on own initiative and as part of a team.

Must have the ability to communicate effectively orally and in writing.
