Key Responsibilities: Ownership of AZ Personal Leadership Team meetings (Mon/Weds/Fri calls, Monthly Leadership Committee, Monthly Risk & Conduct Forum); Agenda setting (with input from the Managing Director & Business Manager); Briefing presenters & paper authors, ensuring a clear purpose for all agenda items; Collating & issuing papers with allowance for sufficient pre-reading time; Managing all meeting logistics; Capturing notes, actions & decisions and circulating in a timely manner; Oversight of all actions arising, ensuring continued focus to progress & close actions, with updates requested & collated for review at the start of each meeting; Ownership & co-ordination of all AZ Personal submissions, actions & preparation for Tier 1 & 2 committees; Ensuring that a clear brief is set to support the delivery of concise & focussed papers, providing feedback where required to drive improvements; Co-ordination & briefing of all AZ Personal presenters & paper authors, setting clear timescales for content to be received by the Managing Directors Office which allows for pre-review before papers are presented to the Managing Director for agreement prior to the final submission deadline; Tracking all actions coming from Tier 1 & 2 Committees, ensuring regular updates are provided & actions are delivered within the agreed timescales; Close relationship with Company Secretariat Team; Maintain a close relationship with the Internal Communications Team and co-ordinate all site visit and internal engagement activity for the Managing Director; ensuring clear agenda, purpose and value driven from the time spent; Oversight of audit actions & regular reporting to AZ Personal Leadership Team to ensure sufficient visibility and timely closure; Support with regulatory correspondence & requests for information as required; Oversight of SM&CR responsibilities and support to the Leadership Team with governance documents, changes to teams/role and oversight of the process for any application to the regulator; Responsible for ensuring current delegated authorities, statements of responsibility are in place & FCA reasonable steps requirements are met.
