Job Description

The Executive Assistant (EA) will provide a high level of executive and administrative support to the VP Human Resources and VP Supply Chain. Sysco is a fast-paced, highly operational, matrixed organization. It’s critical that the EA provides proactive support to the execs that they support and can quickly build relationships to operate effectively across the organization. You’ll also be working closely with Sysco’s global EA Network to maximize calendar efficiency across multiple time zones including the US and EU. You’ll need to be used to being exposed to sensitive information, be able to navigate multinational organization structures and be pragmatic and flexible to deal with changing priorities. A full-time, permanent, and hybrid working role with the requirement to work on-site in London (Covent Garden) two to three times per week. Due to Sysco being a global organization, colleagues are often operating across different time zones, so flexibility will be required with working hours. Key Accountabilities & Responsibilities: Calendar Management : Extensive diary support to VP Human Resources and VP Supply Chain, including managing conflicting deadlines and fast-changing priorities. Communication Management : Manage complex mailboxes to ensure VP’s are aware of emerging matters and changing priorities, as well as providing overviews and informative notes on meetings. Meeting Coordination : Assist in organizing and coordinating meetings, including preparing agendas and arranging meeting logistics to ensure smooth and productive meetings. Taking actions and following up on actionable items as required. Travel Arrangements : Manage all aspects of international travel, including booking flights, accommodations, and transportation. Research and recommend travel options, maintain travel itineraries, and ensure all necessary travel documents are in order. Relationship Management : Work autonomously as well as integrate within teams, with a proactive and solution-focused attitude, to help the flow of communication by building and maintaining relationships with key stakeholders in varying locations, such as EAs and Leaders across the global enterprise. Miscellaneous Tasks : Handle ad hoc tasks and responsibilities as they arise, including managing invoices and raising POs, management of team absence and attendance, ensuring annual renewals of SRA and other key licenses are maintained, event planning and coordination, and administrative support. EA Support : Work with the International EA team to ensure there is adequate cover for all International VPs for periods of holiday and absence. About You: We’re looking for someone who has previous global Executive Assistant experience within a large and complex matrix organization. You’ll have strong organizational skills developed in a fast-paced environment with significant experience in diary management including complex travel arrangements across different time zones, including the US. Experience using Microsoft Office (Excel & PowerPoint) at an advanced level is essential to support with data collation and preparing documents for Board meetings. This role suits an individual with high attention to detail who has the confidence and ability to adapt communication styles to diverse audiences in both the UK and internationally. This role requires someone who has the ability to maintain high levels of confidentiality, discretion, and diplomacy at all times.
