They are looking for an Executive Administrative Assistant to join their Company Secretarial team. Opportunity to work with a market leader in the financial services industry Dynamic working environment with scope for professional growth Strong emphasis on work-life balance and inclusivity What you'll do: As an Executive Administrative Assistant, your role will be pivotal in supporting the Company Secretarial team in managing entities across EMEA. Your excellent organisational skills will be put to use in arranging board meetings, maintaining statutory registers, assisting with account approvals, and managing travel arrangements. You will also be responsible for processing expense claims and invoices promptly. Your ability to handle confidential information with discretion will be crucial in this role. Provide board support for quarterly and ad hoc board meetings, including organising/planning meetings, reviewing and collating papers, and attending board meetings to deal with ad hoc requests. Arrange notarisation and legalisation of documents as needed. Execute legal documents including application of company sealings and maintain respective sealings register. Maintain statutory registers for UK entities and corporate data on Diligent Entities database. Assist with accounts approval process - signing of accounts and filing of documents with UK and overseas registrar of companies. Arrange internal and external meetings, conference calls, rooms, AV equipment, catering, dial-in numbers, and video conference facilities. Manage travel arrangements within the Firm-wide Expense Policy for the team. Process expense claims and invoices in a timely manner. What you bring: The ideal candidate for the Executive Administrative Assistant role brings at least 3 years' experience from a similar high-performance environment. Your strong communication skills will enable you to liaise effectively with people at all levels. Your proactive approach combined with your ability to remain calm under pressure will help you manage last-minute changes efficiently. Your excellent attention to detail coupled with your organisational skills will ensure that you can meet deadlines and follow up on outstanding items. Your proficiency in Microsoft applications will be essential in this role. At least 3 years' experience in a similar high-performance environment. Ability to maintain confidentiality on all aspects of work. Clear and concise written and verbal communication skills. Proactive approach with the ability to use own initiative and judgement. Highly organised with the ability to multi-task to meet deadlines. Discrete, professional manner. Excellent attention to detail. Good organisational skills with the ability to follow up outstanding items as necessary. Intermediate/advanced proficiency in Word, PowerPoint, Excel, Outlook, Adobe, and other Microsoft applications.
