About The Role Job Overview We are seeking a dynamic and experienced Executive Assistant to provide high-level administrative support to our Divisional Director within the Supported Living Division. The ideal candidate will be a proactive and organised individual with exceptional communication skills and the ability to thrive in a fast-paced environment. Homebased/Remote - With National Travel Required

Job Responsibilities: Administrative Support:

Manage the Divisional Director’s calendar, including scheduling appointments, meetings, and conferences. Coordinate travel arrangements and accommodations for the Divisional Director and other senior executives as needed. Prepare and distribute correspondence, reports, and presentations on behalf of the Divisional Director. Maintain accurate records and files, ensuring confidentiality and compliance with company policies.

Communication and Liaison:

Serve as the primary point of contact for internal and external stakeholders, including team members, clients, and partners. Facilitate communication between the Divisional Director and various departments / verticals within the organisation. Draft and proofread emails, memos, and other communications on behalf of the Divisional Director.

Project Coordination:

Assist in the planning, coordination, and execution of divisional projects and initiatives. Track project milestones, deadlines, and deliverables to ensure timely completion. Compile and analyse data to support decision-making processes and identify areas for improvement.

Divisional Support:

Provide administrative support to other members of the Supported Living Division as needed. Collaborate with team members to streamline processes and enhance efficiency within the division. Participate in divisional meetings, take minutes, and follow up on action items as required.

Requirements: Bachelor’s degree OR Level 3 in Business Administration, or a related field preferred. Proven experience as an executive assistant or similar role, supporting senior leaders in a corporate for-profit environment. Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines. Strong attention to detail and accuracy, with proficiency in proofreading and editing. Exceptional written and verbal communication skills, including the ability to interact professionally with individuals at all levels. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Ability to maintain confidentiality and exercise discretion when handling sensitive information. Flexibility to adapt to changing priorities and work independently with minimal supervision. Car Driver with ability to Travel across the Regions providing support where / when required.
