Role overview: We are seeking a highly organised, proactive, and resourceful Executive Assistant to provide high-level support to the CEO and Executive Leadership Team (ELT). In addition to managing the day-to-day responsibilities of the CEO and ELT, this role will oversee the work of the Executive Assistant to the Senior Leadership Team (SLT), who also serves as the company’s Office Administrator. This role requires exceptional organisational skills, the ability to multitask and prioritise effectively, and the leadership capability to manage and mentor others. You will act as a trusted partner to the CEO and ELT, ensuring their time is focused on strategic initiatives while also ensuring the smooth operation of office administration and SLT support functions. Key Responsibilities: Executive Support

Provide direct administrative support to the CEO and members of the ELT, including calendar management, travel arrangements, and meeting coordination. Manage the CEO’s inbox, prioritising and responding to emails as needed, and ensuring timely follow-up on critical actions. Prepare agendas, presentations, and reports for meetings, ensuring the CEO and ELT are well-prepared for engagements.

Team and Meeting Coordination

Schedule and organise internal and external meetings, including ELT meetings, board meetings, and client engagements. Take detailed minutes during meetings, track action items, and ensure timely follow-up. Ensure seamless coordination of leadership-level meetings, including virtual and in-person logistics.

Leadership and Team Management

Manage and oversee the work of the Executive Assistant to the SLT, ensuring they deliver high-quality support to the wider leadership team. Provide mentorship and guidance to the Executive Assistant/Office Administrator, promoting a culture of excellence and continuous improvement. Ensure effective delegation and coordination of responsibilities across the executive support function.

Office Administration Oversight

Oversee the smooth running of office operations, ensuring a productive and professional working environment. Support the Executive Assistant/Office Administrator in tasks such as office supply management, vendor liaison, and organising company events. Act as a point of escalation for office-related issues, resolving them in a timely and efficient manner.

Project and Task Management

Assist with the planning and execution of special projects and strategic initiatives as directed by the CEO or ELT. Track progress on key company initiatives, ensuring deadlines are met and priorities are aligned. Proactively identify opportunities to streamline processes and improve efficiency.

Communication and Liaison

Act as the primary point of contact between the CEO, ELT, and internal/external stakeholders. Handle confidential and sensitive information with discretion and professionalism. Ensure consistent and effective communication across the executive office and other teams.

Ad Hoc Responsibilities

Assist with recruitment efforts and onboarding for senior hires as needed. Organise company events, leadership off-sites, and team-building activities. Support operational and administrative needs for the CEO and ELT, ensuring a professional and responsive approach.

The above list is non-exhaustive; you may be required to carry out any ancillary duties in relation to your role, in addition to the abovementioned list. Requirements: Proven experience as an Executive Assistant or in a similar role supporting C-level executives or senior leadership, with experience managing other team members or support staff. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with tools like Teams, Zoom, and project management software. Leadership experience, with a proven ability to mentor and guide team members effectively. Experience working in a fast-paced, high-growth environment, ideally within a tech start-up or dynamic organisation. Discretion and integrity in handling sensitive and confidential information. Person specification: Exceptional organisational and time management skills, with the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills, with the ability to draft high-quality correspondence and reports. A proactive and resourceful problem-solver with strong attention to detail.
