The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. They will be able to juggle multiple priorities while remaining flexible and consistent. They have learned the basics of how companies operate, how to execute on projects with little oversight, and have developed some “executive presence” that allows them to stand in for their executive as needed. The CEO executive assistant will also have a view across the entire company joining executive team meetings, strategy days, and a variety of other meetings attended by the CEO. Responsibilities Support the CEO to effectively lead the organisation ensuring that company goals and objectives are accomplished and the day-to-day, short, medium and longer-term CEO priorities and activities are efficiently managed. Coordination of the CEO's working day by completing a wide range of administrative tasks, such as giving notice of meetings, checking meeting attendance, agreeing monthly, weekly and daily scheduling activity, managing agendas, checking mail, reviewing emails, taking phone calls, organisation and set-up of working desk, document management, arranging client meetings and organising networking commitments. Ensure contacts are updated and accessible in his phone. Provide sophisticated calendar management for the CEO. Manage inquiries and requests while troubleshooting conflicts; update according to changing priorities making proactive judgements and recommendations. CEO Time Management - ensure the CEO is kept on time for every meeting (including time blocks and transitions), confirm every cancelled meeting and ensure all documents are prepared and printed in advance. Acting as a gatekeeper with his time, priorities and focus of attention. Support the CEO on internal projects, liaising on behalf of the CEO with internal and external executives as required. Effectively manage CEO travel itineraries, booking of travel, accommodation and transport both locally and internationally. Support by taking minutes in selected meetings and owning the follow up on agreed actions and maintain progress updates. Organise and oversee the organisation, logistics, note taking and follow up actions for company strategy days, Director’s meetings, CEO social events and other company events as required. Process expenses and management of the gift register and follow up actions. Support the CEO in managing and aligning personal administration, tasks and activities against business priorities. Flexibility outside of core hours is essential including checking emails. Maintain professionalism and strict confidentiality with all materials. Additional Responsibilities In addition to being the EA to the CEO, you will lead/oversee on administrative activities for the MD and CFO through your management of the Administration Coordinator. Diary Management/Coordination of the CEO, MD & CFO diaries to ensure effective ways of working across the Exec Team. Support the CEO, MD & CFO with meeting preparation (produce presentations, business papers, spreadsheets, reports and communication packs) for board, committees, executive, senior leadership, one to one and internal/external business meetings including research conducted on attendees, agenda, or any other relevant context. Line management of the Administration & Office Coordinator. Diary management, meeting notes and actions for board meetings, HCC, HAC and EFT. Diary management, meeting notes and actions for business meetings, strategy days, directors’ meetings, CEO direct reports meetings and buzz sessions. Diary management of ECT meetings. Board and Committee meetings support including managing submission deadlines, agendas, minutes, follow up, actions logistics, supporting packs and materials. Required Skills and Competencies Confidentiality: Have a natural high degree of discretion and full compliance with the need for confidentiality relating to company and employee data, employee information and personnel issues that may arise during the course of executing duties. Decision Making: Makes solid decisions regularly and deals with issues as they arise in a cool, calm, and professional manner. Process Management: Develops and maintains processes to support the effectiveness of the CEO. Strong time-management skills and an ability to organize and coordinate multiple concurrent projects. Ownership and outcome oriented: Demonstrates high levels of curiosity to provide a solution-oriented approach. Attention to detail: This is a critical skill and a meticulous approach to detail is necessary. Flexibility: Remains flexible while handling multiple priorities. Leadership: Takes responsibility for yourself and those around you. Flexible team player, willing to adapt to changes and unafraid of challenges. Communication: Communication is a critical skill. Excellent written and verbal communication skills. Adapts communication style to relay messages effectively and efficiently. Tech Savvy: Keeps up to date with the latest office equipment, apps and technology. Confident user of MS Office suite, with focus on Outlook features, Word, PowerPoint, Excel and/or other applications.
