Your new role | EA and Regional Communication Coordinator, Global Distribution Operations

I am seeking an Executive Assistant to provide comprehensive, administrative and organisational support to the SVP, Global Distribution Operations and Senior Management team. This role involves leading global activities, managing internal and external communications, and coordinating meetings and events. The ideal candidate will have excellent judgement, strong communication skills, and the ability to handle multiple priorities with confidentiality and discretion. Experience in independently managing projects from start to finish is essential.

Perform general administrative duties for the SVP, Global Distribution Operations and team, including meeting coordination, minute-taking, and presentation creation. Develop and execute the Global Distribution Operations communication strategy, ensuring consistency and improving employee communication. Proactively seek new techniques and technologies to enhance employee communications. Post-company events, successes, and employee achievements on social media. Facilitate smooth communication between the SVP, Global Distribution, and internal departments, maintaining credibility and support with senior management. Keep the SVP informed of upcoming commitments and responsibilities, following up as needed. Manage a calendar of meetings, setting priorities based on guidelines. Maintain and distribute key documents such as email lists, organisation charts, and site overviews. Prioritise conflicting needs, handle matters proactively, and ensure project completion under deadline pressures. Book travel and accommodation for senior managers and visitors. Arrange entertainment and team-building events. Coordinate off-site conferences, including planning meetings, distributing information, and creating agendas. Oversee staff rewards, dealing with suppliers, placing orders, and coordinating distribution. Perform any other reasonable duties as required by the line manager. This role is diverse and requires flexibility and multitasking. It involves supporting Senior Management globally, producing and deploying General Communications reports, and handling confidential information in compliance with GDPR. Strong organisational skills are essential for arranging large-scale events like roadshows, Christmas hampers, VIP visits, and more. The communications aspect requires skills in creating presentations, reports, newsletters, and monthly poster campaigns. Based in a fast-paced environment, the role includes both ad hoc and routine tasks. It also involves some foreign travel and occasional local travel for off-site Management Meetings.

What you'll need to succeed

Knowledge, Skills & Abilities:

Relevant PA qualifications Handle confidential and sensitive information appropriately Problem-solving and multitasking skills Proficient in Microsoft Office (Outlook, Word, PowerPoint) High energy and drive Accurate and high-quality work Ability to work with people at all levels globally Skills in creating reports, presentations, and newsletters Friendly yet professional demeanour Strong organisational skills Knowledge of InDesign is a plus, but not required. Work Environment: Office-based Prolonged sitting and computer usage

Experience: At least 5 years' experience in a similar role Experience of producing internal communication channels would be preferred but not essential.
