Facilities Services Coordinator

is responsible for supporting the Data Center Site Director and team with administrative aspects of the facility operations. Provides administrative support for the implementation of programs, policies and procedures related to the maintenance/repair of facilities and provisioning of new customers. Supports team via a computerized preventive maintenance program for facilities and related equipment. Is instrumental in documenting and archiving of critical records, plans/drawings, and reports. This role requires on-site work hours to support a 24X7X365 data center environment and is not eligible for remote and/or hybrid work. ESSENTIAL DUTIES AND RESPONSIBILITIES , other duties may be assigned: Responsible for all event planning for the site Supports the site as the Site Host / HR Site Host Marketing and Sales support Coordinates and schedules conference room business clients – Audio Visual Plays the role of philanthropic liaison for the site Responsible to be the site point on Accounts Payable / Invoicing, Expense / Travel (Trip Actions) / Purchasing (Workday) AED and First Aid Program contact Oversees Vendors for coffee, concessions etc. Responsible to assign project numbers and track capital projects as needed. Provide update reports to Site Management team as needed Assists in new vendor set up, vendor proposals, RFPs and contract preparations. Tracks and updates annual COIs for vendor contracts Completes updates to the Vendor Contract Management site Supports team in tracking and reporting of capital labor, capitalization report and compilation, updates and PUE. Archives plans and drawing updates, OEM and warranty documents, and completed maintenance and service reports to portal. Supports team in preparing documents for site audits and compliance requirements. Supports site team and assist in providing RFP responses to Sales Engineer and Sales team if needed. BASIC QUALIFICATIONS : AA/AS degree or equivalent years of experience in critical building administrative support for operation or related experience in lieu of degree Two or more years of experience in administrative and office support activities or related support role experiences Two years or more of extensive Microsoft Office experience demonstrating proficiency PREFERRED QUALIFICATIONS : Four or more years of experience in administrative and office support activities or related support role experiences preferred One or more years of experience working in a data center or other critical facility environment preferred KNOWLEDGE, SKILLS AND ABILITIES : Excellent interpersonal skills with the ability to interface with all levels of the organization Demonstrated ability to establish and maintain effective working relationships with diverse constituencies and excellent oral and written communication skills are required. Adaptability and resourcefulness are essential. Analytical and reasoning skills necessary for evaluation processes, judgment, and finally independent action are critical. Computer literacy, demonstrated proficiency in Remedy, Microsoft Office Suite Must have excellent customer service, verbal, and written skills along with good grammar and the ability to take accurate notes are required Must be capable of handling multiple simultaneous tasks under pressure while maintaining strong customer service and a professional demeanor. Ability to review and evaluate problems and recommend cost effective solutions. Proven oral and written communication skills to deal with varying levels of staff. Basic knowledge of office administration, reporting, budgeting and control, and business operations. Knowledge of and ability to complete vendor procurement on-boarding and manage purchase requisitions. This position is Bonus eligible.
