Based on experience JOB SUMMARY: You will be the linchpin in our Business Unit’s day-to-day operations, providing essential support to a dedicated team of 12 who are an Internal Support team for Vinci Energies UK & ROI. This role is tailor-made for someone who excels at bringing order and efficiency to any situation. Our ideal candidate is a self-starter who loves to organise and manage office environments efficiently. We are looking for someone eager to own their role, guiding daily operations with confidence and finesse. KEY RESPONSIBILITIES: Client Communication:

Act as the first and continual point of contact for clients, providing stellar service that enhances client relationships. Engagement and Renewals:

Engage existing clients regarding contract renewals and facilitate scheduling, contributing directly to the business's success. Efficient Data Management:

Input and manage critical data in the CRM system, with full training provided to the software. Proactive Support:

Chase down necessary documentation efficiently and effectively, ensuring the BUGM can focus on client service without administrative distractions. Warm Welcomes:

Greet and assist anyone visiting the office, creating a welcoming and professional atmosphere. Operational Excellence:

Order and maintain office supplies and manage resources, ensuring the office is a well-oiled machine. ADDITIONAL RESPONSIBILITIES: This opportunity plays a vital role in managing the company’s day-to-day financial operations. The responsibilities include: Overseeing the Company Ledger: Responsible for maintaining and organising the company’s ledger. Ensure accurate recording of financial transactions and keep track of financial data. Paying Invoices: Authorise invoices for approval. Updating Ledger Balances: Regularly check and update ledger balances to maintain accurate financial records. Scanning, Filing, and Logging Account Documents: Manage accounting documents, ensuring proper organisation and accessibility. Updating Computerised Accounting Systems: Work with SAP accounting software to input and update financial data. Creating and updating spreadsheets of daily transactions: Maintain accurate records of financial transactions, ensuring that all data is up to date. Preparing monthly and quarterly financial reports: Compile financial data and generate reports to help track financial performance. Assisting with budget preparation: Collaborate with the wider finance team to help create budgets and monitor spending. Maintaining records on financial metrics: This includes tracking data. Handling administrative tasks: Assist in paperwork, filing records, and other administrative duties as needed. Support project owners with ad hoc analysis. REQUIRED SKILLS AND QUALIFICATIONS: Excellent written and verbal communication skills Proven work experience as a Finance Administrator, Finance Assistant, or in a similar role. Hands-on experience with accounting software, such as Sage and SAP based systems configured for Vinci requirements. Advanced knowledge of MS Excel, including creating spreadsheets, charts, and using financial Excel functions. Good understanding of bookkeeping procedures. Time-management and organisational skills.
