Fleet Administrator assists in the administration and coordination of the organization's fleet of motor vehicles. Maintains accurate records of vehicles. Being a Fleet Administrator ensures compliance with government rules and regulations and files paperwork in support of this compliance as needed. Roles and Responsibilities: Filing and maintaining spreadsheets Maintaining accurate records of a high volume of fleet vehicles Tracking compliance with government rules and DOT regulations File paperwork pertaining to compliance and DOT regulations as needed Handle titles and registrations for Fleet equipment (roughly 600 pieces of equipment total) Facilitate Fleet Fuel Programs Decipher and understand Fleet data such as Utilization, Cost, Budgeting, etc. Handling permits for oversize/overweight, trips, mobile machinery, and more Audit and research incoming inventory for any discrepancies with stocking, receiving, and re-ordering of materials. Ensure that all office locations are adhering to Riley Brothers warehouse inventory policies, procedures, and processes. Track and maintain spreadsheets and reports for inventory costing processes. Distribution of reports and data as required by the senior leadership team. Success Factors: DMV and State requirements for Titles and Registrations FMCSA Regulations Construction/Utility Fleet specifications Intermediate Word, Excel, PowerPoint Compliance and government rules and regulations pertaining to Fleet vehicles, DOT Understanding of IRP, IFTA, and HVUT Strong organizational skills Exceptional team player Ability to be self-motivated and work proactively to stay on top of workloads Ability to learn quickly to understand and facilitate Fleet Fuel Programs Ability to work in Fleet management software's for ex. GPS, Company ERP, etc. Ability to work in Vista Knowledge of DMV and State requirements for titles and registrations preferred Excellent MS Office skills including Excel Exceptional computer navigation abilities Experience and Education: Minimum of a High School diploma or GED Additional Requirements/Licenses/Certifications: Possession of, or ability to obtain, a valid State of Residence Driver’s License is required within two weeks of employment. Candidates must pass criminal and Motor Vehicle Record (MVR) background checks and pass a pre-employment drug screen.
