The Role We are looking to strengthen our Governance Expertise within our Energy Codes Team. This role sits in the Energy Codes team within Gemserv’s Energy Business Unit. The team is responsible for planning and managing committee meetings across Gemserv managed Codes, working across the energy industry. You will be responsible for organising agendas and terms of reference, coordinating pre- and post-meeting documentation, attending meetings, and engaging with and responding to committee Chairs and attendees. You will also support the Head of Governance in implementing standardised processes and efficiencies across the different energy Codes, ensuring an aligned experience for stakeholders. The successful candidate will work alongside other Governance Consultants to support Technical Sub-Committees by coordinating meeting papers and drafting detailed minutes, organising and facilitating meetings, and communicating industry developments. The role will include preparing papers and slides to support the meetings, coordinating risk and issue reviews and updates, creating new or updating existing policies, and acting as a quality gatekeeper. The successful candidate will be a self-starter, with enthusiasm, enjoy working in a fast-paced environment, and will possess strong organisational and communication skills, excellent written skills, attention to detail, as well as the flexibility to manage priorities. Responsibilities Supervise, lead, and manage a team of Senior Governance Administrators. Foster a motivating and supportive environment to drive high performance within the Governance Team. Demonstrating best practices in meeting governance, leading by example for team members to replicate for other Committees. Building and maintaining strong client relationships with the Independent Chairs of the committees, the Data Communications Company, and industry stakeholders to ensure agendas are agreed upon and deliverables are clear. Coordinating multiple committee meetings, which include arranging online and in-person meetings and managing membership and attendees. Reviewing documents to ensure accuracy and consistency, and acting as a quality gatekeeper. Maintaining meeting activity planners, ensuring prescribed timelines are diarised and adhered to and contributors managed closely to deliver their inputs on time. Preparing meeting documentation and actively managing meeting actions to secure timely updates. Drafting meeting papers and technical meeting minutes that are researched, accurate, and concise. Managing monthly reporting on team activities carried out. Continuously improving team processes, comfortable challenging the status quo. Ensuring we meet our service levels by working to deadlines. Strive for excellence in their work by being methodical, diligent, paying attention to the details, and proactively verifying assumptions. Able to understand and communicate technical subjects and convey the point concisely. Experience in drafting new and improving existing processes. Digitally competent and able to present information in its clearest format for the intended audience. Excellent planning and organisational abilities, able to manage time and a varied workload, and be flexible and adaptable to changing priorities. Excellent communication skills, both written and verbal. Experience in UK retail utilities/UK Smart Metering (desirable). University graduate or of graduate calibre; and have an understanding and experience of industry codes and governance (desirable).
