This is a newly created role within the People Directorate at Coventry & Warwickshire ICB (CWICB). We have recently launched our People Plan for CWICB and we are embedding an HR Business Partner (HRBP) team into CWICB after a transfer of this part of the service from Commissioning Support Unit (CSU). This role will work with our existing team of established and developing HR professionals to shape HR for CWICB and deliver our People Plan. Main duties of the job

The post holder will be required to act as the first point of contact for any HR enquiries, providing first line HR advice for queries from managers and staff and providing HR administration support. The role requires a highly motivated and enthusiastic individual to provide and coordinate HR administrative services, including the preparation of agendas and minutes, and taking appropriate follow-up action as required. Supporting the HR team with the management of projects, gathering information and undertaking enquiries as necessary is also essential. The post holder will need to demonstrate a high level of initiative, an ability to organise their workload, and manage large volumes of work, with a strong emphasis on working independently on a range of administrative tasks. In addition, the post holder will act as the first point of contact for a range of queries, exercising judgment and discretion regarding appropriate responses. About us

This role is open to hybrid working with requirements to regularly attend ICB and partner sites across Coventry and Warwickshire (ICB bases at Shire Hall, Warwick and Parkside House, Coventry). Provide specialist secretarial/administrative support and advice to the ICB with the HRBPs and HRAs guidance. Maintain the HR inbox and ensure queries are dealt with in line with KPIs. Sort and prioritise all incoming mail and emails, distributing as appropriate. Support and maintain effective office management systems to ensure a smooth flow of information within the department. Deal with non-routine enquiries received by the department, providing direct support and problem-solving. Carry out a range of administrative tasks applicable to their department/directorate and provide cover for other team members as required. Manage and produce relevant data for the HRBPs and HRAs, e.g., spreadsheets for absence monitoring, expiration of FTCs, HR team plans, etc. Provide basic HR advice via the HR inbox and associated emails. Organise and coordinate meetings/conferences/training events/project or steering group meetings for the team. Take and distribute meeting notes, preparing materials where relevant. Undertake administrative duties such as filing, maintaining records, and mail distributions. Ensure all urgent and/or confidential communications are received and distributed in a timely manner. Input, monitor, and check data, working with all HR team members in the collection of information for performance reporting. Act as an initial point of contact for all teams, including Senior Teams, dealing with queries and passing on relevant information. Run and collate reports which may include reports to the senior management teams as required. Develop and maintain effective electronic and paper filing systems. Prepare agendas, take notes, and distribute notes of meetings, including typing up group discussions and interviews. Develop effective working relationships with a range of people across the organisation. Ensure effective methods of communication are used to disseminate information to the wider team and organisation. Identify and resolve queries, escalating where necessary. Work with team members to comment on and implement changes to local and national policy, especially relating to recruitment. Ensure statutory and mandatory training is kept up to date. Provide administrative support for training sessions and programmes offered across the ICB. Effectively use a range of IT applications to create reports, project plans, and documents. Take minutes at relevant ICB meetings and in HR processes. Work independently within specific projects, consulting for further guidance when appropriate. Work with national and organisational policies and procedures, seeking advice from senior staff as required. Concentrate on checking the accuracy of detailed information and analysing statistics. Work under pressure and deliver to timescales, overcoming resistance to change and dealing with conflict situations. Ability to travel to and support meetings across Coventry and Warwickshire. Knowledge

NVQ Level 3 in a relevant subject or equivalent experience. Significant administrative experience including initiating and maintaining office systems. Experience in dealing with the public and handling sensitive and confidential information. Intermediate knowledge of IT systems and software programmes, such as Outlook, Word, Excel, PowerPoint, and Teams. Understanding of Confidentiality and Data Protection Act. Skills

Clear communicator - excellent writing, data entry, and presentation skills. Able to pull reports containing data and analyse where required. Able to work without supervision and on own initiative, organising and prioritising workloads to tight deadlines. Disclosure and Barring Service Check
