who has experience of working in a Human Resources capacity, providing administrative and executive level administration support, with excellent organisational, time-management and communication skills, is required for well-established organisation based in Gravesend, Kent. SALARY:

£30,000 - £35,000 per annum (DOE) + Benefits LOCATION:

Hybrid – a mix of working from the office in Gravesend, Kent and remotely from home - with the requirement to travel to attend meetings JOB TYPE:

37 hours per week, Monday to Friday JOB OVERVIEW We have a fantastic new job opportunity for a HR Co-Ordinator / Executive Assistant who has experience of working in a Human Resources capacity, providing administrative and executive level support, with excellent organisational, time-management and communication skills. Working as the HR Co-Ordinator / Executive Assistant you will be the first point of contact for all Human Resources-related issues and provide administrative assistance and support for a variety of HR tasks to a wide audience. You will also be responsible for providing exceptional, accurate, thorough, and professional administration support to the CEO and the Executive Team across the organisation. As the HR Co-Ordinator / Executive Assistant you will be actively overseeing the workflow, organising and cultivating important connections both inside and outside the company, and taking the lead on specific projects. A good level of business acumen, enabling the effective co-ordination and prioritisation of the CEO’s work is key. DUTIES Primary point of contact for employees and managers in all HR related matters and signpost or respond accordingly Manage information flow in a confidential, sensitive, timely and accurate manner Manage the HR information system, providing management information on a regular and ad hoc basis Process new starters, leavers, payroll changes on a monthly basis Collaborate with external providers for payroll processing and benefits administration Maintain and update HR records; providing HR administrative services across the organisation Support Managers with the recruitment process Manage onboarding processes for new starters, including Right to Work, DBS checks and referencing Manage the CEO’s schedule, prioritising and organising meetings with internal and external stakeholders Ensuring that the CEO is prepared for all meetings and engagements with relevant documentation Manage the Chief Executive’s emails and correspondence, replying to some, as appropriate, referring items elsewhere within the Organisation and following up on any actions Create and maintain a tracking system for all significant stakeholder email and letters, ensuring that responses are provided within the required timescales Work with the Communications team to plan engagement events Ensure that the key performance data and other briefing information is made available to the Chief Executive Officer within the given timeframes Provide administrative support to the Executive team, including preparing presentations and reports, organising travel and accommodation arrangements Record, produce, track and distribute action notes/minutes from face to face and Teams meetings CANDIDATE REQUIREMENTS Experience of working in an HR capacity Experience of providing executive level support Experience of taking accurate minutes at high level meetings Building and maintaining professional working relationships Strong technical skills with a good working knowledge of Microsoft Office, Word, Excel, PowerPoint, Teams and SharePoint Experience of managing projects Capacity to use good judgement and a high level of discretion and initiative Highly skilled listening, writing, and speaking abilities to provide tactful and successful interactions with both internal and external stakeholders Outstanding organisational abilities, including the capacity to manage competing requests and set priorities, all while continuously delivering work of the highest calibre and on schedule Strong business sense BENEFITS 27 days annual leave, rising to 28 days after 2 years and 30 days after 5 years + Bank Holidays + Birthday Day off (with the opportunity to buy additional days) 2 paid Volunteer Days Pension - 5% Employee 5% Employer Healthcare Cash Plan, incl. 3 x salary life assurance Annual Salary review Refer a Friend Scheme Free access to an online portal with access to a wide range of retail discounts, cycle to work scheme and additional voluntary benefits HOW TO APPLY To be considered for this job vacancy, please submit your CV to our Recruitment Team who will review your details.
