We are looking for a proactive and detail-oriented HR Coordinator to join our client on a fixed-term contract until December 2025. Based in Port Glasgow, this role is 4 days on-site and offers a fantastic opportunity to support key HR functions within a dynamic environment.


About the Role


As the first point of contact for daily HR enquiries, the HR Assistant will be responsible for providing a responsive, efficient HR service to the organisation. This role also involves collaborating with the wider HR team to support ongoing HR projects and employee relations cases.


Key Responsibilities


- Coordinate HR administrative processes across all stages of the employee life cycle.

- Offer guidance and advice on day-to-day HR-related questions, policies, and procedures.

- Maintain accurate employee records, update HR/Payroll systems, and track absences.

- Manage and respond to queries within the shared HR inbox promptly.

- Assist with monthly payroll processing.

- Prepare and manage all new hire documentation, including contracts, work eligibility, and qualification verifications.

- Draft and issue ad hoc employee communications, such as contract changes.

- Provide support for initial employee relations cases.

- Develop and document effective administrative processes.

- Collate and analyse HR metrics and data.

- Contribute to HR project work and initiatives as required.


Key Requirements


- Proven experience in a fast-paced HR Assistant role.

- Strong attention to detail and high accuracy in all tasks.

- Exceptional communication skills and the ability to build effective relationships across the organisation.

- Self-motivated and able to work both independently and as part of a team.

- Skilled in managing multiple priorities and adapting to shifting demands.

- Experience with data handling, including preparing mail merges and working with large data sets.

- Familiarity with GDPR practices.

- Discretion and professionalism in handling sensitive information.

- Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
