Job Summary: The Executive Assistant is responsible for managing operational and logistics for different activities like stakeholder management, calendar management, meeting minutes, travel management, etc. This role will be serving leadership roles for Legal and Enterprise Strategic Sourcing functional heads for Lowe’s India. The role reports to the senior leadership team at Lowe’s and hence requires good networking ability with external market executives. It also requires the individual to create a rapport with the leaders and their direct reports, along with gaining business intelligence for their units. Having excellent communication and presentation ability is imperative for this role. Candidates who have supported business leaders in managing their offices while maintaining confidentiality of work would be ideally suited for applying to this role. Roles & Responsibilities: Core Responsibilities: Stakeholder management Interact with key stakeholders internally and externally (senior management at vendor side) Work with EA of Leaders at vendor side to schedule discussions Having past experience of supporting Procurement Heads or Legal Heads will help Take notes from the meetings and follow up on action items. Report progress on a regular basis. Calendar Management: Access to schedule/accept/decline meetings on leader’s behalf Understand stakeholders' priority to manage meeting list accordingly Attend meetings, take MoM & manage follow-up activities/meetings Managing meetings, office activities and stakeholders when the leader is OOO Travel Management: Coordinate for visa application and booking of domestic/international tickets, accommodation and conveyance Arrange for international calling card, forex cash, S-badge & transportation Expense management for travel and other approval activities within the leader’s organization Point of contact for HR and Talent Acquisition processes, events, purchase orders, systems: Schedule calibration, appraisals & mentoring meetings Provide interview slots for lateral hiring Purchase order and Purchase Requisition creation and working knowledge on Microsoft Office and Dynamics tools/ERPs is a necessary requirement Collate and submit monthly and quarterly awards Manage HR tasks like role change, salary change on the system on behalf of leaders Managing new-hire joining (raising Day 1 requests, space allocation, etc.) Managing data on tools/systems on behalf of leaders while maintaining extreme confidentiality Managing events and having excellent program management skills will be an added advantage Program managing Town Halls, team lunches and fun activities (especially in virtual medium) Years of Experience: 5-10 Years of proven and relevant work experience as an Executive Assistant or similar roles. Good stakeholder management skills Great program management and event management skills Experience in managing both internal and external key stakeholders will be preferred. Education Qualification & Certifications (optional) Required Minimum Qualifications: Bachelor's or Master’s degree or equivalent Skill Set Required: Primary Skills (must have): Familiarity with social networks, professional sites, etc. Good networking ability and connections with senior leaders in the Tech Industry in India is an added advantage Excellent verbal and written communication and presentation skills (particularly business email writing knowledge) Exposure to working and communicating with stakeholders in the US and UK Good time-management skills with the ability to handle various tasks simultaneously
