Duties & Responsibilities

Key duties

Management, representation at and/or administrative oversight of appropriate admissions committees including responsibility for ensuring admissions policy is appropriately presented to committees for approval or note. Oversight of all local Finance (including the tender process), HR, and SHEW (Safety, Health, Environment and Wellbeing) requirements for Admissions. This includes ensuring changes in policy and procedures are implemented with timely provision of guidance and updates. Lead on the provision of support and guidance for staff recruitment, new starters, induction, probation, and performance management. Lead on the management and maintenance of admissions systems. This will include working with the Deputy Head of Admissions (DHoA) and Operations Managers to ensure updates are completed and tested, including annual system roll-over. Including input on future systems and requirements Lead on the management of processes related to programme approval, discontinuation and withdrawal. Providing clear, accurate and timely information. Oversight of updates to programme fees, entry requirements and course information, ensuring appropriate tests and checks are in place and compliance with CMA requirements. Establish and maintain strong working relationships with key contacts to improve information, operational tools and guidance, and service levels. This will include developing communication links with the University’s Schools/Directorates and external bodies as required. Support tender processes related to admissions improvements and projects, in collaboration with the Head of Admissions (HoA) and DHoA. Develop policies and procedures with the HoA and the admissions team to meet institutional, legislative and regulatory requirements, supported by sector-wide best practices and meeting QAA requirements. Maintain awareness of trends and external issues affecting university admissions, such as changes in government policy, curriculum reforms, widening participation, and demographic trends. Work with the DHoA and Operations Managers to create internal standard operating procedures for all areas of admissions work and develop training materials for all staff involved in admissions.

Specific Duties

Line management of the Deputy Support Team Manager and Fraud and Compliance Officer. Manage the performance, induction, and development of the Support Team, ensuring communication of and engagement with departmental objectives; planning, organising, and delegating work, monitoring progress, and ensuring interventions are in place as needed. Provide policy, compliance, and legal information on admissions matters to senior staff and colleagues involved in recruitment and admissions activities. Provide guidance to ensure admissions processes and procedures cover all entry levels, including the collection and revision of central entry criteria, assessing application requirements, enquiry management, communications, process improvements, and system updates.

Essential Criteria

Evidence of degree/NVQ 4 level qualifications, or a proven track record of working at a senior professional level in a complex organisation. Evidence of ability to lead, motivate and manage staff, securing individual and collective performance. Evidence of experience of managing a team consisting of one or more team members, with proven ability to plan the work of a section over a timescale of at least 12 months, reacting to changes in workload and strategic direction of the department. Demonstrable knowledge of Student Visa and Immigration requirements, Competition and Marketing Authority (CMA) guidelines, and Data Protection regulations. Demonstrable experience of working with policies and regulations, presenting information, data and updates in an accessible format to influence decision making. Demonstrable experience of ability to manage and administer a group or committee, highlighting ability to plan, organise, ensure quality of notetaking and timely completion of actions. Evidence of ability to communicate detailed and complex information effectively and professionally with a wide range of people. Evidence of excellent analytical and problem-solving skills, using a range of presentational techniques to instruct and demonstrate new solutions to diverse, high-level and complex problems. Evidence of a comprehensive understanding of professional and regulatory requirements relating to admissions within the UK and Welsh HE sectors. Proven ability to think creatively and innovatively, with a track record of developing fresh approaches and solutions to enhance ways of working. Desirable Criteria

Experience of working with Student Record system/s. Experience of management of web information. Experience of working within a central HE admissions service. Fluency in Welsh, both written and oral. Additional Information Additional Information

The Admissions Team is responsible for the provision and administration of the University’s recruitment process and policies related to admissions. This includes the provision of application processes, decision communication and maintenance of systems related to the admissions process.

Admissions plays an essential role in maintaining the reputation of the University through effective communication to the public and to external and internal stakeholders. The Admissions Team has a customer focused approach, and the team represents the University on a corporate level and involves all three academic colleges and constituent Schools.

The Admissions Team is responsible for key links with external bodies such as UCAS and the Russell Group and aim to influence admissions practices not only at a local but at a national level. The team works on an evolutionary basis, working flexibly to meet service needs and demands and is committed to providing a world leading applicant experience.

As well as primarily working on campus in various locations, there may be occasions where you will be able to undertake remote working (known as blended working). Due to the nature of admissions work there will be key points in the year where leave will be restricted, extended opening hours will be in operation, and occasional weekend working will be required. This will be primarily, but not exclusive to, confirmation and clearing in August and student enrolment and overtime and flexibility will be required during these periods.
