Description

The IT Supplier and Contract Management Analyst will support the IT Supplier Manager with the administration of the Supplier and Contract management function for IT services in KCL. The post holder will be responsible for the day-to-day management of work coming into the ITSM (IT Supplier Management) queue, ensuring requests are dealt with in line with service standards and performance targets, and raising any issues identified with the IT Supplier Manager and key stakeholders. A large part of the role requires the administration of payments - raising purchase orders and ensuring invoices are paid in line with contractual deadlines, so experience of Purchase to Payment processes would be advantageous. This position requires excellent interpersonal and communication skills, as you will be liaising with Senior Managers, members of the Executive, and Suppliers. The successful candidate will have the ability to manage their workload and competing demands and be willing to develop new skills and take on new challenges. Some travel may be required for meetings and training, predominantly between Quintrell Downs and university campuses in London.

Accountabilities

Support the governance and strategic approach of Supplier Management within King’s. Ensure Supplier Management policies and processes are adhered to, raising any breaches to the Head of Supplier Management. Support ITSM with the planning and review of supplier spend, performance, and contract reviews, as directed by the Head Supplier Management. Administrate and raise Purchase Orders for IT related spend. Work with business stakeholders and suppliers to ensure high-quality IT Services are delivered to the business, ensuring contractual performance and support criteria are met and value for money is obtained. Manage supplier performance and develop strategies to address under-performance and compliance failures. Carry out all duties in accordance with King’s Procurement and IT Policies and in collaboration with central Procurement, IT service, and solution owners. Ensure that contracts and agreements are maintained on the appropriate systems so that accurate information is available. Produce high-quality documentation and reports. Support and maintain the Supplier and Contracts Database (SCD). Perform supplier and contract categorisation and risk assessment. Support continual service improvement across Supplier Management by identifying areas for improvement and assisting with the update or creation of required documentation. Assist with internal and external audits as required.

Key skills and experience required

(E) - Confident to identify, question, and suggest improvements to current working methods and processes where necessary for the benefit of King’s. (E) - Good attention to detail with organisational and process design skills. (E) - Good communication skills and customer focus. (E) - Diligent and thorough approach to problem-solving. (E) - Willingness to complete ITIL Foundation. (E) - Proficient in the use of Microsoft Office products. (D) - Experience of Supplier Management best practice. (D) - Experience of working in an ITIL framework and identifying areas of improvement. (D) - Knowledge and experience of working in a HE environment. (D) - Knowledge and advanced experience of Excel and Power BI to create and maintain datasets and reports. (D) - Familiarity with Snow License Manager, BMC Helix, CIPS.
