Reporting to the Chief of Staff, the Lead Executive Assistant will thrive in a high-performing environment. This role acts as the “right-hand person” to the CEO, managing and working in tandem with the PA to the CEO, who handles daily logistics. This role also manages our team of EAs and Office Assistants.

The dynamic nature of this role requires the ideal candidate to have exemplary time management skills and to be an expert in ‘reading the play’ when it comes to anticipating the needs of our CEO, messages and tasks that require prioritising, and making office-related decisions with their view in mind. This role would suit an individual who is confident in their ability to work independently to achieve outcomes from day-to-day responsibilities to more complex value-add projects, and who can also delegate items to others in their team.

To excel in this role, the candidate must be comfortable operating in a fast-growing tech scaleup. Being a crucial supporting role, the individual will need to be experienced and comfortable interacting with senior stakeholders across the business, with our Board, and with external stakeholders, and displaying the appropriate level of professionalism and discretion at all times.

Objectives & Responsibilities:

Strategic Support

Serve as a strategic partner to the CEO, offering insights, managing priorities, and helping with day-to-day decision-making

Assist in the preparation of business presentations, reports, and other materials for meetings and strategic initiatives

Conduct research and gather data to support strategic projects and business development activities

Act as a liaison between the CEO and internal/external stakeholders, ensuring smooth communication and follow-ups

Board Support & Planning

Coordinate and prepare materials for board meetings, including minutes, agendas and presentations

Handle logistics for board meetings, including scheduling, venue arrangements, and follow-up communications

Maintain and organise board-related documents, ensuring confidentiality and accuracy

Project and Exec Coordination

Act as a key logistical member of the deal team, supporting planning and coordination

Arrange Exec Board meetings, ensuring documentation is gathered, agendas are set, and actions are tracked

Organise meetings, prepare agendas, and document key action items and decisions

Administrative & Operational Support

Manage the CEO’s inbox, sorting through and prioritising content and preparing draft responses where possible

Give direction to the PA to the CEO on the CEO’s calendar, prioritising appointments, managing scheduling conflicts

Handle travel arrangements for the CEO, including building complex itineraries, and ensuring the PA to the CEO books travel and accommodations

Manage confidential and sensitive information with utmost discretion

Business Support Team Management

Act as the group leader for our EAs and Office Admins, ensuring alignment across team members, prioritising group work, and keeping tabs on our team’s culture and needs

Proven experience as an Executive Assistant, preferably supporting C-level executives. 5+ years supporting at EA level with 8+ years of work experience

Strong organisational, multitasking, and time-management skills with the ability to plan and prioritise to meet deadlines

Experience supporting at board level, with a strong understanding of board functions

Experience in project management and managing the assignment of priorities and tasks for a team of business support staff

Experience as a people manager, ideally as a group leader

Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

High level of discretion, confidentiality, and loyalty

Proactive approach to support with strong problem-solving and decision-making capabilities

Flexible and adaptable, with an understanding of the demands of supporting a busy CEO

Business and commercial acumen

Previous experience in a growth/scale up environment strongly preferred

Experience with stakeholder management in a 250+ person company

Knowledge and understanding of corporate finance, deal teams/fundraising, and/or strategic planning processes
