Legal Secretary – Part Time (1 day per week) - Chesterfield, Derbyshire - Receiving post, locating relevant files and placing before the Fee Earner for their attention. - Produce accurate documents from dictation, verbal or written instructions including the use of templates and precedents. - Ensure and maintain the confidentiality of all the firm’s and clients’ documentation and information. - Receiving telephone calls and taking messages for and on behalf of the Fee Earner, collating such messages and bringing them to the attention of the Fee Earner as soon as possible. - Maintain the Fee Earner's diary of forthcoming appointments and actions, bringing such matters to the attention of the Fee Earner when appropriate. - Attend clients both in person and on the telephone and provide such support in a professional and courteous manner, in keeping with the firm’s standards for client care. Such information and assistance to stop short of providing legal advice. - Comply with the policies, instructions and procedures of the Practice as they appear from time to time in the Office Manual and the Department Operating Checklists. - On client matters, deal with appropriate third parties, including other Solicitors, Experts, Barristers, Courts, etc. - Establish and maintain efficient paper and electronic filing systems for the Fee Earner. This includes the timely and accurate filing of correspondence and documents. - Accurately open and close client files, efficiently undertaking any file management tasks delegated by the Fee Earner. Accurately follow procedures when preparing files for archiving. - Prepare outgoing correspondence and enclosures for dispatch. - Provide support and guidance to trainee and temporary secretaries as and when required. - Undertake other ad-hoc duties as requested from time to time. - Typing exercise.
