We are seeking an experienced and detail-oriented Private Client/Probate Legal Secretary to join our clients dynamic team. The ideal candidate will provide comprehensive administrative support to our probate department, ensuring a smooth and efficient transaction process.
Salary £28,000 to £30,000 negotiable according to experience, parking on site, pension scheme. Hours 9 to 5.30. Monday to Friday 20 days Holiday plus statutory days.
Job Summary: The Probate Legal Secretary provides administrative support in the probate and estate planning department, assisting solicitors with the preparation of legal documents, case management, and client communication. The ideal candidate will have a strong understanding of probate procedures and excellent organizational skills.
Key Responsibilities:
- Document Preparation:
- Draft and proof read legal documents, including wills, trusts, petitions, and filings with probate courts.
- Prepare and maintain case files, ensuring all documents are organized and up to date.
- Client Communication:
- Serve as the primary point of contact for clients, responding to enquiries and providing updates on case progress.
- Schedule client appointments and manage solicitors’ calendars.
- Case Management:
- Assist solicitors in managing case deadlines and filing requirements.
- Track and follow up on important dates, including court appearances and document submissions.
- Court Filings:
- Prepare and file legal documents with probate courts, ensuring compliance with local rules and procedures.
- Maintain a filing system for both electronic and paper documents.
- Research:
- Conduct legal research related to probate law and assist solicitors in gathering relevant case law and statutes.
- Administrative Support:
- Perform general office duties, such as answering phones, managing correspondence, and handling billing and invoicing.
- Assist with office organization and maintenance.
Qualifications:
- Experience: Minimum 2-3years of experience as a legal secretary, preferably in probate or estate planning. Will consider training.
- Skills:
- Proficient in Microsoft Office Suite and legal management software.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to handle sensitive information with confidentiality.
