Contract Manager/Facilities Manager Job Purpose: The Planner/Contract Support role is integral to the efficient operation of the data centre. The individual will be responsible for planning and scheduling maintenance activities, supporting the management of contracts, and ensuring seamless communication between technical teams and external contractors. The goal is to deliver excellent service, meeting operational standards, and ensuring compliance with SLAs, KPIs, and health and safety regulations. Key Responsibilities: Maintenance Scheduling: Plan and coordinate preventive and corrective maintenance activities. Manage work orders and ensure timely scheduling of all planned maintenance tasks. Maintain accurate records of all works planned and completed. Contract Management Support: Assist in managing contractor relationships, ensuring compliance with contracts, SLAs, and KPIs. Liaise with vendors and service providers to schedule site visits and maintenance works. Maintain contract documentation, ensuring that terms, renewals, and reviews are up to date. Data Management & Reporting: Track and report on the performance of maintenance activities, ensuring all work is completed within SLA. Generate reports on contractor performance, scheduling efficiency, and contract compliance. Assist in maintaining asset records, ensuring data integrity and accurate reporting. Coordination & Communication: Liaise with internal teams, including engineering, security, and management, to coordinate maintenance activities. Ensure effective communication between internal stakeholders and external contractors to minimize downtime. Health, Safety & Compliance: Ensure all activities adhere to health and safety standards and data centre protocols. Support in maintaining compliance with regulations and certifications such as ISO, ITIL, and other relevant standards. Administrative Support: Provide general administrative support to the facilities management team. Process purchase orders, invoices, and assist with budget tracking for contracted services. Skills and Experience Required: Proven experience in a Planner, Contract Support, or similar administrative role within facilities management or data centre environments. Familiarity with maintenance planning and scheduling tools (e.g., CAFM systems). Strong organizational skills with attention to detail. Excellent communication skills, both written and verbal, with the ability to liaise effectively with contractors and internal teams. Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook. Knowledge of data centre operations and related health and safety regulations is a plus. Qualifications: Degree or diploma in business administration, facilities management, or a related field (preferred). Experience in facilities management, building services, or data centres (desired). Any relevant certification in planning, contract management, or health and safety is advantageous. Benefits: Competitive salary based on experience.
