Medical Personal Assistant (PA)
to support our Lead Surgeon and ensure the smooth running of our dynamic office and theatre schedules. Key Responsibilities: Diary Management:
Efficiently manage the Lead Surgeon’s complex schedule, ensuring all appointments, surgeries, and commitments are seamlessly coordinated. Oversee the theatre diary and ensure all procedures are appropriately booked, staffed, and equipped. Coordinate the consultant's diary with internal and external stakeholders, balancing clinical, administrative, and professional commitments.
Office Management:
Serve as the primary point of contact for the Lead Surgeon’s office, managing correspondence, calls, and emails with professionalism and confidentiality. Maintain accurate and up-to-date records, files, and documentation, ensuring compliance with all regulations and policies. Order supplies, manage budgets, and oversee the office’s day-to-day operations.
Team Support:
Act as the central hub for the team, fostering clear communication and collaboration between consultants, junior doctors, nurses, and administrative staff. Organise team meetings, prepare agendas, and distribute meeting notes. Provide support for new team members, helping them integrate into the team smoothly.
Patient Liaison:
Ensure patients receive excellent service by scheduling appointments, handling queries, and coordinating with the clinical team. Monitor patient pathways to minimize delays and ensure the timely delivery of care.
Essential Skills and Experience: Proven experience as a PA, preferably in a medical or healthcare setting. Exceptional diary and time management skills with the ability to manage competing priorities effectively. Strong organizational skills with meticulous attention to detail. Excellent verbal and written communication skills. Proficiency in using scheduling and administrative software (e.g., Microsoft Office, NHS systems, or equivalent). A professional and calm demeanour with the ability to handle sensitive information confidentially. A proactive and problem-solving mindset with the ability to anticipate needs. Desirable: Previous experience in managing theatre schedules and working within a surgical team. Knowledge of medical terminology and hospital systems.
