Purpose of the role : to provide high-quality, patient-centred support to the partners, Practice manager and patients in a safe environment, which fosters respect & encourages professional growth.
Aim:
efficient administrative support in a busy practice and deliver the highest standard of patient care.
Main Duties
Meet and greet patients, members of the public and visitors to the practice and maintain a high professional profile and a friendly, welcoming, and courteous attitude.
Ensure the smooth running of the surgery and clinics.
Keep the appointment system up to date and operate appointments as directed.
Maintain patient records to the standard expected.
Maintain patient confidentiality at all times.
Compliance with legal, ethical and practice standards at all times.
Dealing with relevant queries from patients, both by telephone and in person.
Receive and initiate switchboard calls promptly and efficiently, identifying the caller’s requirements.
Transfer calls as appropriate, while at all times projecting the image of the practice in a courteous, efficient and helpful manner.
Answer multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself.
Schedule appointments for new and recurring patients.
Maintain hard copy patient records as well as the files stored in our VISION Health Care Software.
Call patients to remind them of upcoming appointments and to help them schedule testing for off-site services.
Provide patients with support and guidance as needed.
Provide information to patients as appropriate and when directed by the doctor or Practice Manager.
File and extract medical records.
Open records for newly registered patients.
Return records to Central Services Agency as required.
Maintain the office, reception and waiting rooms to a high standard and ensure stationary is well-stocked.
Order supplies as and when directed.
Flexibility to move between both our practices as and when required.
Minimum Requirements:
Successful Candidates must be educated to a good standard, at least 5 G.C.S.E's or equivalent, grade C or above, must include English. The ability to build strong working relationships and maintain confidentiality at all times.
Experience in a medical practice would be beneficial or experience using VISION Health Care Software.
