West View Surgery has a vacancy for a Medical Receptionist.

This is an essential front-line role at the practice, where you will play a vital role in joining our team, speaking to patients and other stakeholders on the telephone and in person, managing patient referrals, and processing clinical documentation among other essential tasks. The role of the Medical Receptionist is varied and challenging.

Main duties of the job There may be on occasion, a requirement to carry out other tasks; this will depend upon factors such as workload/staffing levels:

Deal with all general enquiries

Provide an effective and efficient reception service to patients and all other visitors to the practice.

Maintain and monitor the practice appointment system

Process personal, telephone, and e-requests for appointments

Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately

Signpost patients to the correct service

Initiate contact with and respond to requests from patients, team members, and external agencies

Data entry of patient registrations and relevant patient information as required

Input data into the patients' healthcare records as necessary

Ensure all letters, reports, results etc. are scanned and filed promptly, ensuring that all recent correspondence is available when patients are seen

Create clinical referrals via the e-referral system

Manage all queries as necessary in an efficient manner

Carry out system searches as requested

Summarise new patient medical records

Process patient deductions via the PCSE portal

Maintain a clean, tidy, effective working area at all times

Support all clinical staff with general tasks as requested

Request patient investigations via the ICE system

About us West View Surgery is a small single-handed GP surgery, based within Stanhope Parade Health Centre, South Shields (opposite Chichester metro station). We are a small, friendly, and flexible team offering excellent working conditions.

Job responsibilities The following are the core responsibilities of the Medical Receptionist. There may be on occasion, a requirement to carry out other tasks; this will depend upon factors such as workload and staffing levels:

Acting as a 'first point of contact' with patients over the telephone and in person at the reception desk.

Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.

Manage all enquiries in an effective manner.

Process calling letters as requested.

Scanning of patient-related documentation and attaching scanned documents to patients' healthcare records.

Input data into the patients' healthcare records as necessary.

Process referrals using the electronic referral system (ERS).

Process requests for information i.e. SAR, insurance/solicitors letters, and DVLA forms.

Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately.

Carry out system searches as requested.

Maintain a clean, tidy, effective working area at all times.

Support all clinical staff with general administrative tasks as requested.

Process new patient registrations.

Provide front of house reception cover.

Process prescription requests.

Person Specification Experience

Experience of working in a GP surgery

Experience of administrative duties

Experience of using EMIS Web

Experience of using eRS

Experience of working in a healthcare setting

Excellent communication skills (written and oral)

Clear, polite telephone manner

Competent in the use of Office and Outlook

Effective time management (Planning & Organising)

Ability to work as a team member and autonomously

Good interpersonal skills

Problem-solving & analytical skills

Ability to follow policy and procedure

Qualifications

Educated to GCSE level or equivalent

GCSE Mathematics & English (C or above)

NVQ Level 2 in Health and Social Care or Business Administration
