The North Staffordshire and Stoke on Trent Integrated Musculoskeletal Service (NIMS) is looking to recruit an enthusiastic and motivated Band 3 Medical Secretary on a part time basis (22.5 hours) to join our friendly team. This position will be based at Haywood Hospital, and the ideal candidate will need to be flexible as the office hours will need to be covered on a rota basis. Once training and competencies have been signed off, we have the option of home working. Good customer service skills and an excellent telephone manner is imperative. You will support the Clinical Team providing extensive secretarial and administrative support and be responsible for the effective and efficient working of non-clinical aspects of the service in accordance with all Trust policies and procedures. Previous experience of administration and booking systems and experience of working within the NHS would be an advantage but not essential as full training will be given. Audio Typing - The post holder will be formatting clinical letters from transcriptions of audio recordings ensuring that appropriate supporting information is added and that the documents are free of typos and grammatical errors. Experience with Audio Typing, OCR Text Processing Level 2 or equivalent Audio Typing experience is desirable but not essential as full training will be given. Telephone - The post holder will be booking and rescheduling Advanced Physiotherapy Practitioner (APP) follow up appointments. The post-holder will be required to handle incoming telephone calls and deal with queries from patients, relatives, carers, APP staff and other agencies. Team duties - Cover office duties on a rota basis. These duties include the monitoring of a shared inbox, handling telephone calls and other administrative tasks. The post holder is required to cover for colleagues during absence and these duties will include processing post, scanning, sending referrals and monitoring reports. ICT - Use of electronic patient records systems and clinical documentation software. Confident in the use of Office 365 packages especially excel, email communication and Microsoft Teams. Administrative - Supporting clinical services including sending clinic appointment letters and supporting information and supporting projects and audits as required.
