Medical Secretary / Referral Coordinator We are looking to recruit a Medical Secretary / Referral Coordinator to join our growing team, due to retirement.

The Medical Secretaries are responsible for transcribing dictation, processing referrals, requests for Advice & Guidance and other secretarial support duties.

Experience of secretarial work within a GP Practice, the eRS function or other NHS setting is preferred, but training will be given.

Hours:

We are looking to recruit

up to 20 hours per week

worked Monday-Friday, either 4x 5 hour days, or 5x 4 hour days.

This could be a job share for x2 candidates.

The start and finish times for this post are flexible; however must be within the practice's opening hours (08:00 - 18:00).

Salary:

From £12/hr depending on experience, increasing at 3 and 6 months during probation period. Starting salary may be negotiated for the right candidate with recent experience of this role.

Main duties of the job

To provide an efficient audio, copy typing and word processing service for GPs as required. This includes the typing of letters, reports, patient referrals, in an accurate manner.

Checking Task list for new referrals and those awaiting results or reports.

Checking workflow and processing incoming letters.

Checking eRS worklist for rejections and redirections and deal with all related queries from patients and hospitals.

To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

Maintain confidentiality at all times.

Be adaptable, amiable and willing to take on new tasks.

Willing to provide overtime cover for holiday and sickness if required.

About us Topsham Surgery is a friendly and forward-thinking practice.

We are made up of 2 sites, one in Topsham and a branch site at Countess Wear.

The 2 sites are spacious with a variety of consulting and administration rooms with a pharmacy based at the Glasshouse site.

We care for over 11,800 patients across a large practice boundary from Middlemoor and St Leonards to Lympstone in the South and Aylesbeare in the East.

Person Specification Experience

Be computer literate and able to learn new systems.

Have general education to at least GCSE standard or equivalent.

Have a flexible approach to working, and be able to prioritise workloads.

Working knowledge of Windows and MS Office.

Experience of working in a GP Surgery setting.

Working knowledge of eRS (formerly Choose & Book).

Knowledge of SystmOne (or EMIS).

Understanding of referral pathways for GP Practices (i.e. Devon Formulary).

Salary: £12 to £12.10 an hour depending on experience.
