We are looking for a dedicated and customer-focused Secretary to join our Learning Disabilities Department on a part-time basis. In this role, you will provide comprehensive secretarial support to the administration team, consultants, associate specialists, and other allied health professionals. We seek a candidate who can work independently, collaborate effectively with others, and take initiative when needed. The ideal candidate will have excellent IT and typing skills, alongside a passion for delivering high-quality customer care. Communicate professionally with patients, colleagues, and both internal and external contacts. Manage daily correspondence and inquiries. Handle telephone calls, relay messages on behalf of the specialty team, and take appropriate action when needed. Organize and prioritize your workload efficiently, escalating any concerns to the Band 4 as required. Accurately type various forms of clinical correspondence as dictated by medical staff, using both audio and copy typing methods. Job responsibilities

Qualifications

*Diploma level/NVQ 3 in Business Administration or equivalent. *ECDL or equivalent (or equivalent/working towards). *RSA Stage III or equivalent typing/word processing including audio typing. *Level 3 Leadership & Management or willing to work towards. *Supervision training. Experience

*Experience of dealing with sensitive and distressing issues. *Experience of dealing with multi-disciplinary teams and external agencies. *Experience of using Microsoft Office packages e.g. Word, Excel and Outlook. *Experience of setting up and maintaining office systems. Additional Criteria

COMMUNICATION SKILLS: Evidence of a good standard of Literacy / English language skills. Able to liaise with colleagues and client group in a confidential and tactful manner. Excellent verbal and written communication skills. PLANNING AND ORGANISING SKILLS: Excellent organisational skills. Ability to prioritise own workload and keep to deadlines. Able to produce accurate and concise work. Able to work as part of a team and on own initiative. PHYSICAL SKILLS: Ability to spend periods of time sitting down to use a VDU. Ability to operate office machines e.g. photocopier. Setting up equipment and arranging meeting rooms as required. Movement of client files within the work area. OTHER: Willingness to use technology to improve standards of care and support to our patients. Must be a car driver with a valid driving licence or have access to transport with appropriate business insurance in order to travel throughout the Trust, to meet the needs of the service.
