Established in 1989 , Cotswold Archaeology is a supplier of professional archaeology and heritage services in the UK. With a team of over 300 people across our four offices in Andover, Cirencester, Milton Keynes, and Needham Market, Cotswold Archaeology is a limited company and a registered charity that advances public education of archaeology and furthers an appreciation of the cultural heritage and historic environment. We are looking for an Administrator to join our Operational Support Team. The role will be based in our head office in Kemble but will be required to provide support for our other offices from Kemble as needed. The role is office-based Monday to Friday with some flexibility on start and finish times between 8am – 9am, and 4pm – 5pm. The role is varied and will require someone who can confidently prioritise and manage multiple tasks, from arranging a contractor to resolve an issue with the building, to booking accommodation or hire cars; one day is never the same. The successful candidate will need to be able to forge effective and professional working relationships with stakeholders at all levels, possessing a “can do” attitude and able to work in a reactive environment as part of a team. The role will:

Provide an efficient and welcoming reception service for all visitors, customers, and colleagues. Ensure the office is maintained, including remedial repairs, working in conjunction with the Premises lead to source and book building contractors for emergency repairs. Deal with the incoming and outgoing post for the office and be the key contact for suppliers, stationery, and postal services. Monitor the day-to-day management of the vehicle fleet in Kemble, working with the Fleet lead to manage the vehicle fleet for the office, including the collation of weekly maintenance and mileage records. Book accommodation and hire cars for colleagues as required. Ensure accurate and timely processing of weekly timesheets and annual leave requests for the Kemble Fieldwork team (remote workers). Have responsibility for the rollout of weekly fire alarm test rota and fire wardens for the office. Undertake arrangements for Trustee meetings, including the collation and sending out of board papers, sourcing and booking meeting room facilities, and organising refreshments. Manage the archiving and filing of documentation for the Kemble office. Provide support to the other Office Administrators across CA offices, ensuring there is cover of telephones/emails for annual leave and/or sickness. You will need to demonstrate that you have:

Excellent communication skills with the ability to liaise professionally with clients, suppliers, visitors, and colleagues at all levels. Proven administration skills with the ability to prioritise effectively within a busy and reactive environment. A pragmatic approach to problem-solving and decision-making, with the ability to use initiative. The ability to work both as part of a team and independently. Proficiency in MS Office including Word, Excel, and Outlook. A full manual driving licence (as you may on occasion be required to take fleet vehicles to garages for MOTs/servicing).
