Job Summary
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for ensuring the smooth operation of our office by performing a variety of administrative and clerical tasks. This role requires proficiency in various software applications, excellent communication skills, and the ability to manage multiple tasks efficiently.
Duties
Provide administrative support to ensure efficient operation of the office.
Manage phone calls, emails, and correspondence with professionalism and courtesy.
Perform data entry tasks accurately and efficiently, ensuring all records are up to date.
Maintain organised filing systems, both physical and digital, for easy retrieval of information.
Coordinate office supplies and inventory management to ensure all necessary materials are available.
Support the team in scheduling meetings, appointments, and travel arrangements as needed.
Communicate & negotiate effectively with suppliers, building strong relationships with the target of reducing company purchasing costs by 10%.
Some purchase & sales ledger duties – Raising & progressing orders with suppliers, comparing delivery notes to invoices, and raising invoices to be sent to customers.
Ensure goods are delivered ‘just-in-time’ for when our manufacturing team need to use them.
Update the company stock database on an ongoing basis.
Initial person to answer the telephone for customers and suppliers.
General office duties to include filing & scanning documents.
Skills
Strong organisational skills with an ability to prioritise tasks effectively.
Excellent phone etiquette and interpersonal communication skills.
Attention to detail with a focus on accuracy in data entry and record keeping.
Ability to work independently as well as collaboratively within a team environment.
Familiarity with clerical procedures and administrative processes is preferred.
Excellent numerical, written and spoken communication skills.
Friendly and welcoming manner face to face and when on the telephone.
Ability to plan and order materials relevant to the workload coming up, focusing on key priorities.
Open and honest – even when things go wrong.
Positive attitude and willing to solve problems.
