Redrock Recruitment are looking to recruit for their client an experienced Office Administrator/Secretary to join a new division of a major construction client based in the Midlands. This is a great opportunity to join a fast growing division specialising in Pre Cast Concrete. The order book of new projects this year is impressive covering projects in the UK and Europe, making it a great time to be involved. Responsibilities:
Scheduling and Calendar Management: Organize and manage appointments, meetings, and project timelines for the team. Correspondence Management: Handle incoming and outgoing emails, phone calls, and mail efficiently. Draft and proofread professional documents, including letters, memos, and internal communications. Document and Data Management: Maintain well-organized filing systems (physical and digital) for project records, invoices, and contracts. Prepare and manage reports, spreadsheets, and presentations using Excel, Word, and PowerPoint. Office Supply Management: Monitor and order office supplies and ensure all equipment is functioning properly. Liaise with suppliers and service providers for procurement and maintenance. Meeting Support: Prepare agendas, presentations, and minutes for meetings. Coordinate meeting logistics, including IT setup and catering. Financial Management: Process and track invoices, payments, and expense reimbursements. Prepare detailed financial spreadsheets and ensure records align with company accounting system. Employee Records Management: Maintain employee records, including time off, payroll data, and compliance documents. Support onboarding processes and update staff details in the system. This is a full-time position for the right candidate. You will be working very closely with the Operations Director to support him in the growth of the division based from the office in Coventry. This is an office-based role.
