Role Overview: We are seeking a dynamic and proactive Office Manager to ensure the smooth and efficient running of our office, both physical and virtual. This pivotal role involves overseeing office operations, managing suppliers, maintaining office equipment and IT infrastructure, and providing administrative support across various functions. You will also support our sustainability management, recruitment processes, manage health and safety protocols, and oversee internal events. As the Office Manager, you will play a crucial role in fostering a positive and inclusive team culture. You will ensure that our office environment is welcoming and supportive, helping to create a space where employees feel valued and empowered. Responsibilities: Office Management:

Coordinate maintenance activities, maintain stock levels, and order kitchen and office supplies. Ensure the office environment is always well-maintained and conducive to productivity. Oversee and project manage office environment improvements. Open the office daily, ensuring it is ready for employees to arrive. Develop and implement office processes and procedures to boost operational efficiency.

Technical Support:

Oversee IT equipment for the team, ensuring functionality and addressing issues promptly. Manage external IT suppliers daily. Maintain the Fixed Asset Register. Conduct daily equipment checks and order necessary equipment. Troubleshoot and find solutions to ongoing issues.

Reception Duties:

Answer the main reception phone. Meet and greet clients and guests, preparing meeting rooms for a welcoming experience. Manage and distribute incoming and outgoing post and deliveries.

Supplier Management:

Liaise with suppliers to ensure timely delivery and quality of office supplies and services. Negotiate contracts and manage vendor relationships. Serve as the point of contact with building managers.

Health and Safety:

Implement and monitor office health and safety protocols. Ensure compliance with relevant health and safety regulations. Manage office fire marshals and first aiders.

Event Management:

Lead on all internal events, meetings, and social events. Plan and execute events within set budgets.

HR and Departmental Administrative Support:

Support the Head of People and Operations with tasks and maintaining an organised office environment. Provide occasional EA support to the CEO during annual leave cover. Assist with office and HR administration, providing cover for annual leave as needed.

Sustainability Management:

Lead on sustainable initiatives and team engagement. Manage sustainable accreditation processes, including Ecovadis and ISO 14001.

Essential: At least 4 years experience in office management or administrative leadership roles Strong organisational skills: Ability to manage multiple tasks, prioritise effectively, and manage deadlines effectively Strong interpersonal and communication skills: Strong verbal and written communication skills to interact with employees and suppliers Technical proficiency: Experience with IT equipment management and troubleshooting. Strong experience with Microsoft Office suite and other relevant software applications Attention to Detail: Ensuring accuracy in administration tasks Problem-Solving Skills: Ability to find solutions to ongoing issues and improve office processes Negotiation Skills: Experience in negotiating contracts and managing vendor relationships Flexibility: Ability to adapt to changing office environments and requirements Familiarity with health and safety regulations and protocol Experience in event management and organising internal events Desirable: Previous experience in sustainability initiatives and managing sustainable accreditation processes Recruitment and onboarding experience First aid and fire marshal training Office Health and Safety training At Man Bites Dog, we believe that our people are our greatest asset.
