Lloyd’s is recruiting for an Operations Support/PA to provide comprehensive support to the Capital Modelling Team including support of key team activities.
Principal Accountabilities
Support the diary management of team leadership.
Manage team calendar including arranging, preparing and coordinating meetings, events, and presentations (including agendas, content and venues both internally and externally).
Manage action tracking, in particular those arising from relevant committees, to ensure all required output is met.
Ensure CM Leadership team are adequately prepared for upcoming meetings, trips and events with the appropriate information.
Organise attendance and travel arrangements for the team’s attendance at conferences and industry events.
Preparing and submitting expenses and raising orders/requisitions.
Support governance processes including liaising with committee secretaries on the forward agenda ensuring materials are submitted in agreed timelines.
Provide administrative support for project management activities.
Support the relationship with Group Technology (and outsourced partner), including the CM team escalation process for IT issues.
Manage the relationship with HR and Recruitment managing all associated activities on behalf of CM team.
Management of new starter set up, team annual leave and professional examinations and subscriptions.
Support with Risk and Control attestation process including collating relevant evidence, updating information in relevant systems.
Help to manage the organisation of key documentation on team SharePoint site.
Arrange team socials.
Support with administrative tasks relating to business continuity planning.
Support with budgeting, procurement, invoicing and expenses.
Help to facilitate team engagement and feedback sessions.
Skills Knowledge and Experience
Experience of providing comprehensive support to Team, Director/ Senior Executive/ Head of Function.
Working collaboratively within a team and stakeholders to deliver high quality PA support.
Excellent organisational skills and high attention to detail.
Confidence to make informed judgment calls.
Self-motivated, resourceful and highly proactive.
Ability to identify opportunities for improvement, or share good practice with a continuous improvement mindset.
Ability to build and manage relationships at all levels both internally and externally.
Microsoft Office skills, in particular - Outlook, Word and PowerPoint.
