Due to the expansion of our reception and administration team, we are looking for a receptionist/administrator to join our well-established Practice in Camberley. We are a friendly Practice, serving a diverse community of approx. 9k patient list, with a multi-disciplinary team comprising of GP’s, Nurses, Advanced Nurse Practitioners, Healthcare Assistants, Pharmacists & Pharmacy Technicians. The role will require you to contribute to the smooth running of a busy patient-facing and back-office operation where you will be provided with an interesting variety of work. Previous experience working as part of a team, with members of the public, and the ability to work at pace under pressure is essential for this role. Full training will be provided. The hours required for this role are 15 hours per week: Monday 08:00am to 13:00pm Tuesday 08:00am to 13:00pm Friday 13:30pm to 18:30pm Plus an additional evening (3 in 5 week pattern) 18:30pm to 20:00pm - This would be paid at an overtime rate. There will also be a requirement of Saturday working on a rota basis, this will be paid at an enhanced rate (we are open 1 in 7 Saturdays). Job Overview: The role is primarily reception-based but includes some administration duties. The individual will be responsible for undertaking a wide range of reception and administration duties and providing general support to the multidisciplinary team. Duties can include but are not limited to new patient registrations, greeting and directing patients, effective use of the appointment system, booking appointments, processing information, and assisting patients as required. You will act as the central point of contact for patients, distributing information, messages, and enquiries for the clinical team, and liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. Role and Responsibilities: The following are the core responsibilities of the Receptionist/Administrator. There may be a requirement to carry out other tasks based on workload and staffing levels: Processing new patient registration paperwork Effective use of the appointment system and signposting patients to the relevant individuals Processing personal, telephone, and e-requests for appointments Answering incoming phone calls, transferring calls or dealing with the caller's request appropriately Initiating contact with and responding to requests from patients, team members, and external agencies Entering data into the patient record when necessary Supporting the management of repeat prescriptions, ensuring they are processed accurately and efficiently General administration duties e.g., photocopying Managing all queries efficiently Maintaining a clean, tidy, and effective working area at all times Monitoring and maintaining the reception area and notice boards Supporting all clinical staff with general tasks as requested Completing opening and closing procedures in accordance with the rota The Candidate Requires: Qualifications: Essential: 4 GCSE's (C and above) including English and Mathematics or equivalent. Knowledge: Essential: Advanced knowledge of Microsoft Office packages e.g., PowerPoint, Word, Excel, and other IT skills acquired through training and practical experience. Desirable: NHS structures and organisational relationships, experience using EMIS web clinical system. Experience: Desirable: At least twelve months previous office experience, experience of working with the general public, experience of administrative duties, experience of working within the NHS or general practice environment. Skills: Essential: Excellent verbal and written communication skills, good listening and organisational skills, clear and polite telephone manner, ability to work with minimum supervision, ability to work within a clear policy of confidentiality, excellent customer care skills, disciplined and organised, with the ability to work under pressure and manage own time, able to work as part of a team, co-operating to work together and willing to help and assist wherever possible and appropriate.
