Main duties of the job

Working closely with the practice management team, you will share responsibility to maintain and improve an excellent level of management provided to the Practice and its Partners by helping to coordinate and deliver the surgery's day-to-day patient services. The role carries responsibility for the supervision and management of the Reception Team and is an important part of the surgery's Leadership Team. Supporting our non-clinical team in delivering responsive, compassionate, and effective patient care, you will rapidly resolve any operational issues whilst coaching and mentoring to develop a high-caliber team. You will assist in the design and implementation of new systems and working practices, with a remit spanning all our patient services. You must maintain an up-to-date working knowledge of health and safety and infection control, statutory and best practice guidelines, and ensure implementation across the Surgery. Identify any risks or hazards involved in work activities and ensure any issues are resolved. About us

Willerby & Swanland Surgery is a traditional GP partnership practice working out of its purpose-built surgery in Anlaby. We have 6 GPs, 1 Advanced Nurse Practitioner, 3 Practice Nurses, a team of 2 phlebotomists, and a fully supportive admin team. We are a training practice helping the next generation of GP's. You must be passionate about building a strong team to always deliver a high quality of service. You will need excellent interpersonal and communication skills, the ability to quickly build rapport and trust with people from a range of different backgrounds, as well as demonstrate high levels of emotional intelligence. As an advocate for patients within the organisation, you will need to champion access and communications, ensuring patient experience is at the heart of the work of the team. Coordinating our customer-facing and behind-the-scenes operations, you will ensure patients enjoy a great experience every day. Working closely with the practice management team, you will share responsibility to maintain and improve an excellent level of management provided to the Practice and its Partners by helping to coordinate and deliver the surgery's day-to-day patient services. You will have delegated responsibility for the management of identified personnel, resources, and projects, and will ensure those resources are managed efficiently and effectively, adjusting plans and moving resources as and when necessary. You would lead and be part of the team receiving patient inquiries via email, Engage Consult, phone, and in person, where it is expected that they would be helped in a courteous manner. Some conversations may be of a delicate nature, and so you will need to ensure you and your team maintain confidentiality at all times as well as being empathetic. As you would at times be manning the reception desk, you would be ensuring it and the surrounding area is tidy and above all safe. You and your team would be accurately keeping records and completing clerical duties such as filing and photocopying. Your team will also be processing repeat prescriptions where necessary. You will be part of the practice management team. As well as patients, you will be contributing regularly to the wider team, not only in staff meetings but also in supporting the management team in public relations, being the practice representative at patient participation group meetings. You will be responsible for dealing with concerns and complaints under supervision from the Executive Practice Manager or operations lead where necessary. You will be able to manage your own workload, being an efficient supervisor and organiser. In line with this, you will ensure oversight of your team's data input, ensuring all information is accurate on the EMIS systems. You will be accountable to the managing partners by reporting to and working with the Executive Practice Manager. This role also ensures health and safety guidelines are adhered to and that building maintenance and building issues are supported.
