Join Our Team as a Personal Assistant/ Medical Secretary Happiness in Mind Ltd. is a thriving, independent provider of Clinical Psychology & Well-Being Services, serving the North-West and nationwide. We are excited to announce an opportunity for a Personal Assistant/Medical Secretary to join our dynamic team, supporting Dr Aoiffe Kilcommons, Consultant Clinical Psychologist, and our expanding practice. Why Join Us? • Flexible, Part-Time Role: Enjoy the flexibility of a self-employed position with an estimated 50-75 hours per month. Work primarily during business hours Monday to Friday, with some tasks that can be completed outside of these times. • Professional Growth: Receive comprehensive training and work with a dedicated team in a supportive environment. • Competitive Pay: Earn £15-23 per hour, depending on your experience. Key Responsibilities: • Client Interaction: Be the first point of contact for clients and new referrals via phone and email. • Administrative Duties: Manage billing, invoicing, data entry, payment reconciliation, and credit control. • Support the Director: Assist with correspondence, year-end accounting, and calendar management. • Ad Hoc Tasks: Handle various administrative tasks as needed to support the team. What We’re Looking For: • Essential Skills: o GCSE grade 5 in English and Mathematics (or equivalent). o Strong IT skills and experience with software systems. o Excellent communication and organizational skills. o Professional telephone manner and outstanding customer service. o Ability to handle financial information efficiently. o Self-motivated, professional, and empathetic approach to service users. o Ability to manage emotional demands and fast-paced environments. o Capacity to be responsive to business need (e.g. deal with urgent matters). • Desirable Skills: o Experience in healthcare or mental health settings. o Previous secretarial, practice management, or personal assistant experience. o Familiarity with Xero accounts and Cliniko Practice Management System. o Understanding of GDPR and client confidentiality.
