Overview We are seeking a highly organised and proactive Personal Assistant to support our CEO in a dynamic and fast-paced environment. The ideal candidate will possess exceptional organisational skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the CEO’s busy schedule and requires a professional with strong administrative capabilities.

Responsibilities

Manage the CEO’s calendar, including scheduling meetings and appointments while prioritising urgent matters.

Handle incoming communications, including phone calls and emails, demonstrating excellent phone etiquette.

Communicate with partner organisations and stakeholders,

Produce and collate organisation’s handbooks and policies,

Prepare and organise documents for meetings, ensuring all necessary materials are available.

Assist with surveys, data entry and maintain accurate records,

Coordinate travel arrangements, including itineraries, accommodations, and transportation.

Support various administrative tasks such as filing, clerical duties, and office management to ensure an efficient workflow.

Conduct research as required to assist the CEO in decision-making processes.

Maintain confidentiality regarding sensitive information and uphold professionalism at all times.

Experience

Proven experience as a Personal Assistant or in a similar administrative role is preferred.

Strong organisational skills with the ability to manage time effectively and prioritise tasks.

Proficiency in using Google Suite applications (Docs, Sheets, Calendar) is essential.

Familiarity with QuickBooks for financial record keeping is advantageous.

Excellent communication skills, both written and verbal, with a focus on professional phone etiquette.

Experience in data entry and maintaining accurate records is required.

A proactive approach to problem-solving with strong attention to detail is essential for success in this role.
