This is a PMO Property Assistant Manager - Systems/Data/Process Lead position. This role demands strong expertise in system management and data analytics, ideally within a programme management setting. While familiarity with programme and process management is advantageous, the position is fundamentally centred on systems and data administration, not project management. The core competencies for success in this role are advanced systems administration and data analytic skills.
Purpose of the Role:
The Assistant PMO Manager's role is to coordinate the capital projects delivery programmes, administer the PMO system, and ensure that all programme reporting and processes meet the demands of the business. The Assistant PMO Manager will assist in the management of the Property Programme activity alongside the PMO team and will be responsible for managing and maintaining the system's infrastructure, software applications, and future development to enhance the system and improve services. The role involves ensuring the reliability, security, and performance of the system and providing technical support to end-users.
The role will need to be the main support contact between the system provider and Stonegate, managing day-to-day operations and working alongside the Property Data and Systems Manager.
The role will be responsible for collecting, analysing, and interpreting data to provide actionable insights for decision-making. This will involve working closely with stakeholders to understand reporting requirements, conducting data analysis, and presenting findings in a clear and understandable manner. A critical function of the role is to be able to provide a high level of assurance activity to protect the programme deliverables, using data to support this. It also requires the ability to understand and manage the Project Delivery Method (PDM) to enable efficient delivery and translation into the PMO system.
The role requires a team player who can administer a system but excels at turning detailed data into industry-leading insight dashboards for users across multiple levels of the business, with the desire to work in a fast-paced environment.
Role holders will be expected to work autonomously within a set framework and procedures and may contribute to developing and improving these. They will also require the ability to provide advice and guidance to others and may require the ability to lead and manage in a matrix way. There will be a need to balance competing priorities.
Key Responsbilities and Duties:
- Establish and manage key relationships with stakeholders across the business. With the ability to influence and encourage collaboration between various and sometimes conflicting stakeholder groups.
- Document and Maintain the Programme Delivery Processes (PDM), system configurations, procedures, and troubleshooting steps for knowledge sharing and training.
- Identify key areas of continuous improvement and implement changes to align with business requirements and improve effectiveness and efficiencies.
- Control information by ensuring that any programme movements have been through the correct governance, escalating any uncontrolled changes
- data quality is of the highest standard.
- Administer the PMO system to ensure all reporting and data analytics support Programme requirements.
- Collate, analyse and interpret large datasets to provide actionable insights for decision-making. Collaborate with stakeholders to understand business reporting requirements and present findings clearly.
- Create industry-leading insight dashboards for users across multiple levels of the business.
- Provide advice and guidance to others, working collaboratively and possibly leading and managing in a matrix environment.
Essential Skills, Experience and Qualifications:
- Proven experience as a systems lead or in a similar role, with a strong understanding of IT infrastructure and systems management.
- Knowledge or experience of working in a programme management environment.
- Proficiency in process and database management and the ability to use data visualisation tools.
- Experience as a data analyst or in a similar role, with a strong track record of data analysis and visualisation.
- Experience with data visualisation tools such as Power BI is essential.
- Strong analytical and problem-solving skills, with the ability to translate complex data into actionable insights. Excellent communication and presentation skills, with the ability to convey technical information to non-technical stakeholders.
- Ability to work independently, prioritise tasks, and thrive in a fast-paced environment.
