To be suitable for this role you will need to be willing to spend 4 days a week in the office/on-site. You’ll be responsible for: Providing informal guidance to more junior roles. Supporting diary management for the project director/project manager alongside the office manager. Ensuring team members are aware of administration processes. Assisting with the set-up of the project office, for example, arranging IT equipment and office furniture. Creating and maintaining electronic and hard copy filing systems. Ensuring staff have complete and regularly update their ‘Infomace’ staff home page. Arranging the set-up of project email addresses and Outlook mailboxes for the project, performing regular filing of project inbox emails. Processing all incoming correspondence and producing all outgoing correspondence and records in accordance with the Mace Way. Archiving all project documentation and retaining complete records for handover to the client upon project completion. Placing orders from Mace suppliers. Assisting in the booking of meeting rooms for all meetings, arranging refreshments/lunches for client/external meetings. Maintaining a log of Mace training records and arranging tests/training when required. Managing petty cash and reconciliations for the accounts department and recovery. Providing administrative support, typing letters, minutes, reports, etc. as necessary. Updating the project directory as and when required, issuing via email and uploading to conject, distributing to the project team. Coordinating site visits for both client and project teams. Managing the site meeting room diary. Working collaboratively towards the common goal of net zero carbon transition and sharing responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work. You’ll need to have: Demonstrated experience of IT skills covering Excel, Word, Outlook, and PowerPoint. Demonstrated typing skills/ability. Relevant experience in an administration role. You’ll also have: Experience of web-based applications/software. Knowledge and use of document control systems. Previous experience within the construction industry.
