The Project Coordinator will be a team member of the Project Management group of Yorktel Corporation. The Project Coordinator will apply his or her office knowledge, past experience, interpersonal skills, and administrative techniques to support the project management team. Support to be provided includes customer follow-up, information collection, opening room profiles, opening and updating service orders, data entry, order processing and tracking, status reports, scheduling resources, and attendance in meetings with or in lieu of a Project Manager. This position regularly influences internal customers to achieve a mutually desirable outcome. This position will make recommendations to internal and external parties with regard to concerns or issues and ensure resolution of any problems working closely in conjunction with assigned team members. This position requires regular planning and teamwork in order to assist with the coordination of resources within Yorktel to support clients. This position must regularly communicate answers to complex questions and respond to detailed inquiries about client issues or concerns. This position handles and is expected to protect all internal confidential information and must utilize discretion and judgment based on company policies and procedures. Responsibilities

Responsible for supporting project managers on all internal and external tasks to coordinate customer system installations and room relocations. Support Project Managers on all assigned open projects to include ordering and tracking equipment, managing due dates of project team deliverables, scheduling resources, setting up and processing invoicing, retrieving acceptance and all other duties as assigned. Assist in ensuring that projects are completed on time and meet all business and system requirements. Assist in ensuring that the project scope is well documented and managed properly throughout the delivery cycle of the project. Work effectively with other departments including Purchasing, Accounting, Engineering, Production, and Logistics to ensure successful completion of assigned tasks. Ability to multi-task and assist in handling several large to mid-size projects as well as several additional smaller ones simultaneously. Communicates project status, progress on deliverables, and risks/issues to stakeholders and leadership in a timely manner. Experience in coordination of complex and challenging projects. Effective communication with presentation and written skills. Excellent personal and interpersonal skills in relating to others and managing diverse relationships. Skills & Abilities

The candidate must have the ability to travel as required. Will require regular site visits to customer location(s). Ability to effectively present information and respond to questions from groups of managers, clients, and employees. Knowledge of and adherence to York Telecom policies and procedures. Discuss and prioritize project issues with the project team, and provide help/support to the project team as required. Assist in the development of project plans, schedules, and work breakdown structures for projects. Assist in the adherence to client’s system delivery process guidelines and provide feedback to project teams to take proactive measures to resolve the issues. Interacts with the supplier community and procures necessary infrastructure and tools in a timely manner. Provide support for Operations Leadership activities including taking and distributing meeting notes and follow-up activities as requested. Education & Qualifications

Experience in the following areas is highly desirable: Audio Visual Solutions including Videoconferencing, Multimedia, Distance Learning, Facility coordination, or Networking systems. 2+ years Project Management experience preferred. AS in Management or equivalent experience. Additional Requirements

The candidate must have the ability to travel as required. Will require regular site visits to customer location(s). Ability to effectively present information and respond to questions from groups of managers, clients, and employees. Knowledge of and adherence to York Telecom policies and procedures. May require occasional lifting (up to 25 lbs). Domestic travel requiring multi-night stays within and at times outside the local work area. International travel may be required. Valid driver’s license is a requirement and must have a positive driver’s abstract. Current valid Passport is desirable. Must be willing to complete background checks and drug tests as required by current or future contracts. Must be willing to apply for security clearances, suitability, and other related clearances to be able to work at certain customer locations.
