At Windlesham, the role of the school office is crucial in helping to ensure the smooth running of the School. The office fulfils a pivotal role between the Head and all staff, parents, visitors, and organizations outside of the School. Organisational arrangements The office is manned between 7:30am and 7:00pm Monday to Friday throughout term time and Saturday’s from 8:15am to 4:15pm. Hours vary during the school holidays. The receptionist will be required to work 37½ hours per week, 7:30am to 3:30pm Monday to Friday, during term time and will also work an additional 6 weeks during the school holidays on days agreed with the Office Manager. In addition, they will work on Speech Day, the last day of the summer term, which is normally on a Saturday. Key responsibilities Daily morning registration process of children, including following up on any children who are not accounted for, keeping records of and assessing absences and lateness and reporting this to form teachers. Keeping up to date with any absence requests and putting this information on the daily log so that all staff are aware of absences. Printing registers each day. Preparing for and welcoming visitors (sign-in, preparation of badges, car park signs, offering tea and coffee, etc.). The post holder will take primary responsibility for answering telephone calls and dealing with general inquiries, responding to requests and queries as they arise. Monitoring and processing of the team’s central mailboxes, responding to or directing email as appropriate. Processing incoming and outgoing mail. General office administration. Keeping the parent portal and information boards up to date. To provide assistance to the Office Manager and undertake reasonable tasks as required. This may include general correspondence, assisting with mailings to parents, updating the school database, maintenance of filing systems, and other office duties. Skills and attributes A professional yet welcoming and friendly persona. Exceptional communication skills being able to communicate effectively with children, parents, visitors, and school staff. Excellent organization and IT skills are essential with a sound knowledge of Microsoft Office. Experience of database use. Clear communication skills, both oral and written.
