Purpose of the job
We are seeking to appoint an efficient and friendly Receptionist to join our busy school office from January 2025. Our successful candidate will be pivotal to the smooth day-to-day running of the school, will be the welcoming first point of contact for all stakeholders of our school, and will be able to turn their hand to any admin-related task that is required.
This is a varied, engaging role working closely within an energetic and enthusiastic team, supporting a huge variety of school events where no two days are ever the same.
Reception duties
Be the first point of contact for the school: greeting visitors, staff and pupils, and ensuring they sign in / out in accordance with school procedures. Provide an efficient and professional reception service investigating queries, assessing the nature of telephone calls, referring them to the appropriate person, and receiving visitors in a professional, courteous and timely manner, to ensure that staff, service users and members of the public who contact the school are dealt with efficiently and consistently.
Manage enquiries by telephone, at reception and by email, ensuring they are allocated to the correct member of staff and ensuring timely follow up and replies. Respond to queries / relaying messages and acting on instructions as needed and referring on where appropriate.
Open and distribute all incoming postal mail and deliveries.
Undertake a range of administrative tasks to support the efficient operation of the school, including using the school’s data management system, Arbor (training will be provided).
Support the teachers with admin tasks to enable learning and development of all children.
Support the School Business Manager with routine clerical tasks as and when required.
Diary
Arrange and coordinate appointments and meetings on behalf of the Headteacher and other senior members of staff, organising venues and equipment, dealing with relevant documents and taking meeting notes if required.
In collaboration with the HR & Comms Manager, manage office diary for the Senior Leadership Team and whole chool.
Proactively facilitate all staff noting all events in office diary.
School meals and clubs
To assist with the preparation, distribution and collation of checklists for school meals numbers, and liaise with school catering staff on a daily basis. To liaise with parents about outstanding lunch money and keep an up-to-date record of Free School Meals.
Provide external after-school club providers with daily registers, and liaise with parents about outstanding monies for after-school clubs.
School trips and events
Assist with the coordination of school trips – ensuring all required records, consents and payments are received, in partnership with the teacher organising the trip.
Assist with the coordination of school events such as the annual photographer visit, NHS flu immunisations etc, ensuring school records are accurate as needed and the day runs smoothly.
