About This Role:

This is a peripatetic role covering various roles around the country. You will be responsible for the management of sub-contracted cleaning staff and third-party external contractors. You will take responsibility for day-to-day dealings with residents and will undertake regular checks and assessments for maintenance and health and safety. You will also be responsible for management of the guest suite and other communal facilities. You will work closely with the Senior Property Manager, to ensure jobs are performed as they are required.

Main Duties and Responsibilities:

Developing and maintaining excellent working relationships with residents, reporting promptly and regularly to requests raised.

Maintaining positive and strong working relationships with all internal departments.

Managing electronic data and e-mails and ensuring all client files are updated as required.

Maintaining regular communication with Leaseholders and residents using the notice board facility, phone and email services at your disposal.

Overseeing all reactive requirements and bringing any major defects to the attention of the Senior Property Manager and the Client as required.

Being an ambassador for the Company and its values, delivering effective service and acting as a positive representative.

Taking responsibility for all areas and aspects of the developments, ensuring they are presentable, serviced, and properly maintained.

Assisting the Senior Property Manager with compliance and enforcement of lease terms and statutory requirements.

Maintaining an up-to-date knowledge of all applicable legislation, regulations, and best practices.

Assisting the Senior Property Manager and the Complaints Team with resolving formal complaints to a satisfactory standard.

Dealing with Leaseholder enquiries by telephone, post, or email, ensuring accurate and prompt responses are provided.

Carrying out new resident inductions to ensure they understand the setup of the development and the services offered.

Carrying out all duties in accordance with ARHM, ARMA-Q guidelines, and RICS code of practice.

Ensuring that health and safety checks and routine testing requirements are completed and recorded on time.

Working with the Senior Property Manager to address concerns or risk improvement requirements promptly and within the given timeframe.

Monitoring and supervising contractors carrying out works at the development.

Raising works orders and ensuring all orders are monitored and delivered within the designated timeframe.

Ensuring all irregular incidents are investigated and reported promptly and appropriately.

Ensuring contractors comply with requirements regarding Health & Safety, Parking, Disposal of Refuse, Limitation of working hours, and general site house rules.

Ensuring all cleaning of the communal areas is carried out in accordance with the terms of reference.

Carrying out welfare calls to those who are housebound and those who have just come out of hospital.

Managing the guest suite from a booking position, ensuring receipts are issued promptly and the room is turned over and cleaned after use.

Attending training events as required either on-site or at the IPM Offices.

Ensuring all contractors complete jobs to a satisfactory standard and within specified timescales.

Essential Skills:

Full UK Driving License.

Excellent communication skills, both verbal and written.

Strong attention to detail and a high level of accuracy.

Exceptional organizational skills.

Capable of working under pressure.

Bonus Skills:

Previous experience working in property management.
